Description
Patient Experience Specialist – Job Description Job Description Sugarloaf Signature Dental (SSD) is a fast-paced, growing general dentistry practice that also specializes in TMJ/TMD and Dental Sleep medicine. SSD is looking for a front office Patient Experience Specialist that is responsible for coordinating all aspects of patient visits from initial contact through the dental treatment process. This position reports to the Office Manager and works a Monday through Thursday work week (also occasional Fridays for make-up/continuing education). Key Responsibilities Front Desk • The job involves effective and courteous communication with patients to understand their needs and purpose of visit • Confirm appointments and recalls in line with office protocols • Receiving patients’ inquiries at the front desk and over the phone, and providing them a satisfactory and timely response • Expected to cover the phones to receive calls and direct some to the doctor when necessary • Demonstrate a high level of courtesy and patient relations skills when communicating with patients and visitors to the practice • Scheduling appointments for patients to see the dentist at different times with regards to the doctor’s availability, and ensuring that clients are attended to on time, without keeping them waiting • Check out patients, verify procedures completed, collect payment, and submit insurance • Collect payment from patients at the time of treatment • Make follow-up appointments as needed • Collects information from patients and enters the data into the computer systems, and makes them available to the doctor for use in carrying out appropriate examination and diagnosis of patients’ health condition • Ensuring that client data are constantly updated to reflect the changes that may occur over time • Prepares patients insurance documents and enlightens patients on stated conditions relating to the insurance policy, as well as processes documents for insurance claims • Keep client information confidential and handle them with discretion to ensure that they don’t fall into the hands of unauthorized persons. Also includes keeping files of patients in a clean and private area, arranging them in orderly pattern for easy access upon patient visit to the practice, and making them available to the doctor when needed • Ensures that files are kept safe and orderly to avoid them being misplaced • Register new patients in line with acceptable standards of the practice • Guide patients in filling medical forms at the practice to avoid errors and inaccurate information • Get mail, enter and scan payments and referral documents • Make sure waiting room is neat and tidy • Organize patient education materials • Keep reception area clean and dusted • Compile end of day packet with deposit information • Send out statements and recall postcards on the 1stof the month • May assist with the design of marketing and promotional materials (print and electronic) • May assist with dental office advertising Treatment Coordinator/Lab Coordinator • Facilitate smooth communication between patients and doctors by passing on patients’ requests, while also ensuring that doctors’ instructions are passed on to patients • Explain clinical procedures to patients in order to clear whatever doubts they might have • Inform patients of the various dental services offered by the practice • Carry out any specific task asked by the Doctor quickly and efficiently • Assist fellow coworkers when called upon • Help explain office policy to patients • Maintains relationship(s) with outside dental labs, tracks patient’s lab cases and coordinates patient appointments with lab case delivery dates Record Keeper/Referral Coordinator • Keep financial records of patients’ billings • Maintains and tracks all patient referrals to specialists and documents accordingly Requirements: High School Diploma Associates/Bachelor Degree preferred (or equivalent experience) Windows based operating system literate Familiarity with Microsoft Office Suite Softdent experience preferred Familiarity with Dental terminology strongly preferred Personal Qualities: Self-starter Takes initiative “Roll up sleeves” mentality Outside the box problem solving
