Position Summary Office Managers are the local leader at each clinic location. Office Managers are the trustees of the practice and take ownership of the patient’s well-being, as well as the growth of the office, our community reputation and ensuring company policies and procedures are followed. Under the guidance of the Regional Manager, they are responsible for the overall day-to-day operations of their location. They provide clinical oversight to all team members and hold staff accountable for accomplishing their daily duties, following JDC policies and procedures and providing excellence in patient care. Core Responsibilities Responsible for the overall day-to-day operation of their assigned location including enforcement of JDC policy and procedures and ethical conduct Manage, guide and mentor assistant managers, clinical coordinators, front desk personnel and dental assistants Serve as liaison between doctor and staff regarding work assignments, clinical priorities and performance issues of clinic staff members Administration – Perform FA; Review treatment plans; Review quality of charts and data entry, treatment authorizations; Track attendance and provide other reporting documents that meet JDC policies and legal requirements Implement and provide training on HIPAA and OSHA guidelines; Monitor and reinforce adherence to policies; Maintain and submit required documentation in a timely manner Report any clinic incidents, potential risks or other types of relevant information to the Regional Manager to ensure clinic activities are aligned with expected business practices Lead performance evaluations for staff; Provide honest feedback on performance with guidance and timelines for areas of improvement Culture - Builds a culture of respect, accountability, and trust Competencies for Excellence Leading Others and Influence: Develops and communicates goals; Enhances commitment to organization through acknowledgment of contributions and recognition for progress; Structures situation to create a desired impact and to maximize the changes of a favorable outcome Integrity & Credibility: Able to gain the trust and respect of patients, co- workers and leaders; Exhibits professional demeanor; Takes responsibility for own mistakes, does not blame others Initiative and Results Orientation: Sets specific, challenging goals; Measures results; Handles crisis effectively; Exhibits tenacity in reaching goals Communication: Understands attitudes, interest, needs and perspectives of others; Expresses ideas concisely; Tailors communication to specific person/audience; Anticipates and manages effects of communication Concern for Order and Quality: Keeps records, checks quality of work and documentation Teamwork: Work to develop friendly and supporting atmosphere; Pitches in and help others Self-Management: Exhibits self-confidence when interfacing with the patient; Functions effectively under pressure; Manages own behavior to prevent or reduce feelings of stress Customer Service: Adheres to proper clinical practices; Becomes a trusted advisor to the patient Adaptability: Adapts to change in direction in order to support changing priorities Job Requirements Bilingual (English/Spanish) highly preferred Minimum age of 18 with High School Diploma or equivalent Associates or Bachelor’s degree highly desirable A minimum of 2 years experience in a professional dental clinic strongly preferred RDA certification highly desired; Required within six months of hire Intermediate to Advanced computer use and data entry skills Reliable transportation Work Environment & Physical Demands The work environment characteristics and physical demands are representative of those an employee encounters while performing the essential functions of this job. The noise level in the work environment is usually quiet to moderate in an office setting. Office Managers work in a well-lighted setting that, due to its medical nature, must be extremely clean. When interfacing with patients, they must wear gloves, masks, eyewear and protective clothing to protect themselves and their patients from infectious diseases. Office Managers also must familiarize themselves with safety procedures to minimize the risks associated with equipment such as x-ray machines. The Office Manager is required to use hands to handle or feel objects, tools or controls. The employee frequently is required to stand, walk and reach with hands. The employee is occasionally required to climb or balance, stoop, kneel or crouch. Employee frequently uses computer keyboard and mouse and views computer monitor frequently. The employee must regularly lift and/or move up to 5 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, peripheral vision, depth perception, and the ability to adjust focus.
