Description
Office Coordinator: Job and Responsibilities Role Description: We believe in providing a WOW experience to all of our patients and while doing so, create a perfect smile. The Office Coordinator plays an important role in overseeing the operations of the business unit and making sure our clinic provides excellent dental care in a compassionate way. She/he is responsible for all administrative duties in the dental office by ensuring the office meets its financial objective, monitoring the budget for office expenses, handling staff payroll, training office personnel, and managing internal office protocols to ensure office efficiency. Responsibilities: * Oversee daily office activities * Answer phones, schedule and confirm appointments * Manage internal office protocols and procedures to ensure office efficiency * Ensure the delivery of quality dental care to patients * Respond efficiently to patients and doctor needs inquiries, to ultimately ensure patient satisfaction * Manage patient schedule and patient traffic flow by ensuring patient appointments, cancellations, and last-minute adjustment are handled properly * Process and reconcile payments, and collect copayments * Verify insurance benefits and oversee the processing of insurance * Manage patient referral processes * Present and review treatment plans with patients in detail, and cost associated with each procedure. Arrange payment schedules * Assist patients in applying for credit (i.e. Care Credit) and other financial assistance * Hire, train, and develop staff to meet performance standards * Conduct employee performance reviews, promotions, and terminations * Perform timely payroll processing * Manage staff scheduling ensuring operational standards are met * Monitor and maintain the budget for office expenses by performing inventory control and management to support cost reduction initiatives * Assist with marketing and promotional programs to attract more patients * Maintain facility and equipment in accordance with hygiene and safety regulations including OSHA and HIPAA Education and Experience: * Bachelor’s or Associates Degree preferred * 3+ years’ dental management experience required, along with clinical knowledge * Must be fluent in both English and Spanish * Working knowledge of dental billing and insurance protocols * Knowledge of dental terminology * Knowledge of Open Dental software or similar * Ability to multi-task efficiently * Excellent customer service, leadership, and problem-solving skills * Excellent computer skills
