The primary function of the Office Manager is to manage the operations of their dental practice in an efficient manner and lead in the development of their staff, while exceeding patient expectations and an expected level of profitability. We are looking for talent for future West side opportunities. Essential Duties and Responsibilities: The following is a list of responsibilities associated with the Office Manager position but is not an exhaustive nor a complete, comprehensive list of the duties required and expected. Staffing Responsibilities Work in concert with H1 Department to post and recruit for all open positions Interview, hire and train all team members Lead the day to day training and development initiatives for all team members Arrange coverage in office due to staff PTO and open positions Maintain timely and accurate training checklists for each new hire as well as each tenured team member Partner with the Regional Director and H1 Department to handle personnel situations, needs and evaluations Ensure all employees follow the Handbook appearance, attendance and performance expectations Manage employee PTO and all staffing time in Paylocity Process and submit office payroll to Payroll Deparment * Daily office responsibilities Drive production, revenue and collection to achieve daily, monthly and annual goals Lead the Morning Huddle each morning Perform the treatment plan presentation on all patients Ensure all provider schedules are filled to capacity to maximize office productivity Use all available reporting to aid in the building of your daily schedule and patient follow-up/communication Resolve patient concerns and negative reviews in a professional and timely manner Motivate, direct and lead the activities, performance and training needs for your team Increase patient referrals and new patient visits by marketing your office in a successful and positive light Maintain compliance with Hudec Dental policies, procedures, objectives, mission and values * Daily reimbursement responsibilities Send and/or transmit insurance claims Post patient payments upon receipt Deposit of daily receipts Maintain current Account Receivables activity and follow written A/R protocols Keep current the outstanding claims report * Additional duties may be assigned as needed Requirements: Education: Combination of education/experience normally represented by an Associate’s or Bachelor’s Degree in a Business Related Field Experience: 2-4 years of prior experience with in a management/customer service position Must have strong skills using Microsoft Office products Must be able to read, write, speak, and communicate friendly and effectively in the English language. Must possess the ability to make independent decisions when circumstances warrant such action Must have excellent listening skills and the ability to ask probing questions Able to effectively and professionally manage multiple priorities and adapt to change within a fast paced environment Must have reliable transportation
