Description
ROLE: Business Assistant The Business Assistant’s role is to bring the company’s patient-centric mission to life through being the front desk support. They will schedule all appointments and establish rapport with patients and fellow team members, as well as supporting patients and their insurance and treatment planning needs. Working as a team requires that you demonstrate exceptional interpersonal skills with patients and other staff members, on the telephone and in person. Help manage the schedule for practice efficiency and follow established scheduling policies. RESPONSIBILITIES: Verbally greet patient in a warm and friendly manner Track new patient referral source when inputting new patient information Master the use of the computer scheduling system and serve as the practice’s trainer for all scheduling related issues according to appropriate templates Review the schedule two days in advance to ensure there are no scheduling conflicts for hygiene and doctor schedule Generate and print daily routing sheets for hygiene and doctors by 8:00 am for the next day Utilize effective scripts for all patient interactions Notify chair side assistant of changes occurring in the schedule throughout the work day Contact patients on proposed treatment plans daily. Begin confirming hygiene patients at 9:00 am that may not be confirmed the day before their appointment Continuously maintain a full schedule for both doctor and hygiene. Check in (fill the beaker or place the beaker on the schedule) and schedule cases that arrive daily. Cases are to be put in the lab with a note stating when the patient was scheduled and the Dr. they are seeing. Notes regarding the case put be put in patient’s chart. Answer telephone calls and respond to inquiries professionally and with outstanding customer service Follow-up on all missed appointments and fill canceled appointments for all doctors by using the appropriate reports. Follow-up on any messages received first thing each morning and immediately following lunch Promptly report to front desk by 8:00 a.m. after morning huddle and assure team begins on time.
