Summary Front Desk staff interfaces with all patients, generally before and after their treatment. They are the “first impression” and “final memory” the patient receives about JDC. Front desk staff may include work in several areas: the Front Desk (greeting patient), Financial Agreement (going over Plan of Care and appropriate financial considerations), Recall (calling patients and setting appointments) and Discharge (final completion of paperwork and payment). Note: All Front Desk employees begin as Dental Assistants and need to continue to be flexible and available to assist in the back, based on the patient needs and as directed by clinic management. Responsibilities Daily activities will be coordinated with the Clinic Manager or Assistant Clinic Manager Pull charts one day in advance Greet the customers as if they were a guest in your home; Smile and call them by name; Build trust through a caring demeanor; Provide timely responses and individualized customer Care Answer questions in full and involve others in the office as needed; Provide comforting and reassuring answers to reduce anxiety Initiate patient paperwork for treatment (employment, insurance, etc.); Conduct insurance verification to obtain correct co-pays Assist patients with payment or any related questions Oversee cleanliness and orderliness of lobby End of day: Balance checks and cash; Assure next-day and three-day appointments are confirmed Teamwork: Support and back-up team members to build a spirit of cooperation and meet patient needs Financial Agreement Interface with clients to go over treatment plan; Cover insurance benefits, coverage and co-pays and patient financial responsibility Ask questions to understand patient’s main objectives in treatment care and their possible objections Discuss the dental disease process and likely outcomes of non-treatment Administration – Log information on the FA Form and Service Render Sheet Teamwork – Support and back-up team members to build spirit of cooperation and meet patient needs Recall Book recall appointments with patients who missed appointments or cancelled Call "Continue Treatment" patients that are scheduled for a consultation Call patients who did full mouth exam (FMX), but did not finish schedule treatment Send six-month cards out two weeks in advance Teamwork: Support and back-up team members to build a spirit of cooperation and meet patient needs Discharge Coordinate discharge activities with Clinic Coordinator Reassure patients of what to expect from being treated – such as discomfort, bleeding, prescriptions, physical activities, etc; Provide post-op instructions to patients Enter correct claims into the system Provide patient receipt and appointment card Schedule patient appointment to continue patient treatment Teamwork - Support and back-up team members to build spirit of cooperation and meet patient needs Community Outreach As requested, promote JDC by attending neighborhood events or visiting local businesses and distributing flyers and “goodie-bags” to the public Competencies for Excellence Concern for Order and Quality: Keeps records, checks quality of work and documentation Teamwork: Work to develop friendly and supporting atmosphere; Pitch in and help others Self Management: Exhibit self-confidence when interfacing with the patient; Functions effective under pressure; Manages own behavior to prevent or reduce feelings of stress Integrity & Credibility: Able to gain the trust and respect of patients, co-workers and managers; Professional demeanor Customer Service: Adhere to proper clinical practices; Become a trusted advisor to the patient Adaptability: Adapts to change in direction in order to support changing priorities Diversity: Bilingual language skills; Adapts and integrates into diverse work group and patient population Job Requirements Bilingual Preferred (English/Spanish) Minimum age of 18 with High School Diploma or equivalent A minimum of 1 year experience in a professional office environment with customer interface highly desired RDA certification highly desired, required within six months of start date Intermediate to advance computer use and data entry skills Reliable transportation; Ability to work clinic hours: Mon & Fri – 8:50-5:30, Tues & Thurs – 9:50 to 7:00, Wed- 11:50 to 7:00 and Saturday 8:50 to 4:00. Please note clinic hours do vary based on location for an up-to-date clinic specific hours are available at location or online. Work Environment & Physical Demands The work environment characteristics and physical demands are representative of those an employee encounters while performing the essential functions of this job. The noise level in the work environment is usually quiet to moderate in an office setting. The employee frequently is required to stand, walk and reach with hands. The employee is occasionally required to climb or balance, stoop, kneel or crouch. Employee frequently uses computer keyboard and mouse and views computer monitor frequently. The employee must regularly lift and/or move up to 5 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, peripheral vision, depth perception, and the ability to adjust focus.
