Three Rivers Family Dentistry is growing and we need a new receptionist, but we want someone who is an RDA also. This will allow us to have someone who can fill in when needed. We would prefer someone who is a recent graduate of an RDA program and has some customer service and/or sales experience. The hours are Tuesday-Friday from 9am-6pm. The hours are not negotiable so if those hours do not work for you, please do not apply. We are expanding and are in the process of hiring an Associate. The position may turn into Monday-Friday from 9am to 6pm depending on the new doctors schedule. Its an exciting time at our practice and we are looking forward to adding a new team member! Receptionist The responsibilities listed may evolve with time as we implement new processes, add new services, and experience changes with team members. This is meant to provide an approximate list of responsibilities, but all team members are expected to perform duties outside of this list. Team members are expected to ask how they can help with other tasks when they are finished with theirs for the day. Ultimately, everyone in an admin position is responsible for all admin duties. PRIMARY RESPONSIBILITIES Primarily responsible for administering the day-to-day activities of the dental front desk and office, including but not limited to: maintenance of the records of patients, scheduling of patients, accounts receivable, maintaining appearance and order of dental office. Assist with general front office duties. Responsible for the schedule of the dental office, to include but not limited to ensure patients get scheduled appropriately, make sure the schedule stays productive, filling any openings in the schedule, and confirmation patients via text, phone and/or email to make sure they arrive. SPECIFIC DUTIES Schedule Management Maintain Hygiene and Doctor schedule for multiple clinicians by monitoring schedule, making and confirming appointments through client recall system Manage the schedule so the office runs optimally and efficiently so that each patient receives the highest quality of dental care Confirm the next day’s appointments according to protocol and patient preferences (after two text/email attempts and the patient has not confirmed, a phone call is required) Schedule patients for efficient use of doctor and staff time Check patient ASAP list to try to fill in cancellation and no-show appointment times Review schedule daily, weekly, and monthly. Ensure each patient is scheduled for their next appointment Patient Management Oversee patient relations and handle patient complaints, according to office protocol Help explain office policy to patients Record chart entries from phone or in-person conversations when appropriate Maintain a professional reception area; organize patient education materials, etc. Greet and welcome patients and visitors to the practice Check in patients according to office protocol, verifying and updating patient information All patient charts are required to have a picture of the patient, if the patient declines put a pic of “declined” in their chart Be familiar with the office financial policy and making a financial arrangement with a patient according to office financial policy Enforcing the no show/cancellation policy when appropriate Records Management Gather and accurately record insurance information from patients See that records are stored securely and handled in compliance with HIPAA privacy and security regulations Accurately file patient information Assure that every patient’s HIPAA forms and consent forms are signed and up to date. Insurance Update and verify insurance information on all patients at all times Upload a copy of the patient’s benefits to their chart Obtain a copy of the front and back of insurance card if available and upload to their chart Contact patient’s when changes or discrepancies with their policies are discovered Reception Management Manage day-to-day operations of dental office Open and close dental office according to office protocol Review the office for a neat, professional appearance and make necessary changes Answer and respond to telephone calls with professionalism See that the phone is answered before the third ring at all times. Collect and respond to messages left on the answering machine. Review supplies for reception and provide order to office manager according to office protocol Ensure that HIPAA Notice of Privacy Practices Notice is on display Monitor the condition of the patient bathroom. Check at least twice daily and correct any cleanliness issues Stock coffee station and bathrooms as needed Empty trash in reception area and bathrooms as needed Office Participation Be an active participant in staff meetings Perform other tasks as assigned by office manager Coordinate tasks, time, etc with other team members when needed Correspondence Sort, organize, and distribute mail Prepare and send out other necessary correspondence as directed by office manager Send sympathy or congratulatory cards to patients of the office, as appropriate Monitor and edit any communication going to patients regarding upcoming appointments to ensure the information is correct and timely Utilize all communication resources available to connect with patients to get them scheduled for treatment needed Be the secondary monitor for the office Gmail account; handle all emails as quick as possible and keep it cleaned out Respond immediately to patients who reach out via the website chat Send sympathy or congratulatory cards to patients of the office, as appropriate Specific Tasks: Primary team member responsible for verifying insurance Fill in as an RDA when needed Ensure we know where each new patient was referred from
