Pflugerville Family Dentistry is looking for its next rockstar Insurance Coordinator!
You will be responsible for administering the day-to-day activities of the dental front desk and office, including but not limited to: ensuring patients insurance information is up to date and verified, checking patients out and collecting balances, presenting some treatment plans taking into account the patients insurance plan, maintenance of the records of patients, scheduling of patients, maintaining appearance and order of dental office, and recall/recare system. May also be required to assist with general front office duties.
Purpose and Contribution
The Financial Coordinator position is an extremely important position at PFD. The purpose of the financial coordinator is to maintain a productive and efficiently scheduled appointment book, keeping the office running smoothly and ensuring that patients are arriving on time for their scheduled appointment. They are also responsible for assisting patients with financial options for treatment and overseeing accounts receivables according to office policy. As the primarily responsible person for the insurance billing and collections for the dental office, you need to prioritize your time so that you are spending your time focused on the biggest return. At all times, the financial coordinator remains level headed, polite, and positive in all patient dealings.
What It’s Like on a Daily Basis:
This is a people business first, and with all people businesses, things can be unpredictable. One hour can be hectic with things coming from all directions and the next hour can be very slow with time to catch up on things. No matter what the situation is, you will want to prioritize what is most important (the answer is always “the patient right in front of me” or the “patient in the office”)(the only exception is if you have a new patient on the phone), not get overwhelmed, ask for help, and hold yourself to the core values of the practice. This position requires laser like focus on the schedule with the ability to also help with other front office tasks as described below. You will be responsible for administering the day-to-day activities of the dental front desk and office, including but not limited to: maintenance of the records of patients, scheduling of patients, maintaining appearance and order of dental office, inputting fee schedules, answering the phone, verifying insurance, checking eligibility for patients, scanning EOBs, insurance credentialing, data entry, checking and filtering mail, scanning and sending checks, reading accounts, collecting payments, presenting treatment, and recall/recare system. May also be required to assist with general front office duties.
In addition to the general duties above, the main emphasis of this position is focusing on Accounts Receivables and all aspects of the Dental Insurance process.
Be an active participant in staff meetings. Perform other tasks as assigned by the leadership team.. Liaise with Treatment Coordinator and Scheduling Coordinator, as needed. Help handle incoming phone calls and address issues as needed.
Before you leave, pull up patient’s account on the computer to check balance. If there is a balance, check to see how much is pending insurance. Make sure there are good notes for when patient arrives and that it can be reviewed in the morning huddle. Print the day-sheet at beginning of the day and reconcile. Finalize deposit slip (date, write in cash, stamp, and total). Print credit card “Report” compare and attach slips. Shut down workstation and clean work area for a fresh start to the next day. Assist with other end of day duties for front office team.
At the beginning of each month you will need to print out the total A/R report and prioritize the accounts you will be calling on, according to amount owed and how overdue it is. Review, prepare and process monthly statements for patients
Things Come Up (Hidden Expectations)
Not every situation can be accounted for or predicted whether we are talking about an upset patient, an appointment that has run long and causes you to stay late, a course or community event that the office participates in. However it is expected that you act calm and collected and work towards finding a solution or a collaboration. If a patient is upset then respectfully gather information and if you are unable to find a solution, feel free to pass it upwards. Once in a while you may have to stay late to finish up with patients or you may have to come in early to finish up a task. We want you to take ownership of your position and make it productive. So if you have to spend a little bit of extra time to make it just like you need it, feel free to do so (see overtime policy). If there are events that the office participates in not during normal business hours, it is expected that you make every effort to participate.
