Wanted: Patient Relationship Administrator for Very Busy Surgical Practice The Patient Relationship Administrator’s primary function is to lead a team of a high-functioning Patient Relationship Specialists at our Oral Surgery Practice and conduct treatment consultations with patients. This position ensures the needs of the patient and the Practice are met by ensuring all the tasks and duties assigned to each Front Desk Specialist are completed and performed with excellence. Because the members of this team are the “front door” to the services provided by the Practice, the Administrator is an example of a welcoming, friendly attitude and a willingness and ability to solve patients’ problems or address their concerns. The Patient Relationship Administrator collaborates with other members of the team, the Practice Director, Doctors, and all other departments in the Practice to ensure seamless delivery of oral surgery services to patients. The individual who fills this position is an example of professionalism and compassion. Previous experience as a lead in administrative work and treatment plan consultation in an oral surgery or dental office is necessary. Adherence to laws, such as HIPAA, and best practices regarding dealing with confidential patient data is required. The Patient Relationship Administrator is a champion of the Practice’s values and assists the Practice Director in maintaining an engaging, healthy work environment. This position must demonstrate the Practice’s values in all transactions and interactions with patients, vendors, co-workers, the public, and all others contacted in the course of business. The Patient Relationship Administrator will train staff on all essential duties and will assign primary responsibilities to individual members of the team according to their level of skill and experience. Essential Duties • Trains Patient Relationship Specialists (front desk) and provides ongoing coaching and feedback. • Schedules and directs the work of Specialists. • Oversees the routing process, ensuring all documents required for routing patients are accurate, complete, and in order according to patient experience process. Makes notations regarding needed procedures, missing documents, or any other patient or routing need. • Engages patients to cultivate relationships and ensure the highest level of confidence. • Conducts consultations with patients and creates detailed treatment plans. • May contact third party contractors to verify insurance coverage; acts as a point of contact for contractor. • Assists Patient Relationship Specialists in managing negative patient experiences when all other resources have been exhausted; provides suggestions and best practices to staff in managing escalating situations. • Expert in using scheduling software, Microsoft Office applications (especially Outlook, Word, and Excel) and other computer programs necessary for the effective and efficient running of the Patient Relationship department. Trains others on necessary technology. • Expertly uses computer software for deposits, inventory, ordering, and other technology needed in course of Practice administrative work. • Ensures the department is maintaining the highest levels of security and confidentiality for sensitive and/or personally identifying information (PII). Follows all HIPAA policies and procedures. • Attends Safety and Wellness training as required; ensures staff attend mandatory trainings. • Maintains excellent relationships with doctors, internal staff, patients, and vendors by practicing and supporting open, effective communication. Interacts with referring doctors and other external sources as needed. • Conducts Patient Relationship Team staff meetings and ensures any assigned responsibilities in action items are performed. • Attends other staff meetings as requested. Requirements Education: High School Diploma or GED Experience: Minimum of three (3) years oral surgery, dental or medical office administration experience. Preferred Requirements: Associates or higher degree in Business, Medical Administration or related field. EXCELLENT PACKAGE for the right candidate
