We are seeking an experienced, collaborative individual to join our office as a Dental Office Manager. As part of our team, you provide critical support to all aspects of the business, helping us give the absolute best in quality care to each of our patients. You organize all administrative aspects of the office by organizing and updating patient records, following up with patients, managing the office and schedule, and providing a clear point of leadership within our organizational structure. Our ideal candidate should have several years of experience in administration, particularly within a dental care environment, as well as demonstrable organizational, communications, and interpersonal skills. Below is a job description of what we need in an Office Manager: Office Manager Job Description Purpose: To assure that all the business aspects of the practice are functioning in an orderly and efficient manner. To manage the team, to enforce office policy, to train new team members regarding office policy. At all times, the Office Manager acts as an advocate for the practice owner. Follows through with what is promised to patients and staff, looks for ways to improve, knows all systems, sees the big picture and implements changes where necessary. Is honest, focused and listens to suggestions. Has excellent follow-up, maintains a full schedule with accurate time slots for each appointment, getting treatment plans approved and scheduled. Below are the 4 categories of focus: Attitude Your attitude, outlook and energy will have a direct impact on the patients and staff, so making sure to maintain a calm positive demeanor at all times is imperative. Responsible for office petty cash. Carry out other front office duties as needed or by addition to job description. Make financial arrangements with each patient in accordance with the financial policy of the office. (This is done after diagnosis and consultation and before treatment begins.). You are the lead in ensuring that patient treatment plans are converted into scheduled treatment. Tx conversion is a daily top priority. Numbers Making sure the office expenses are in alignment with the established percentages. Ensures a full and productive schedule is maintained at all times. Coordinates filling any schedule gaps. Ensures patients flow smoothly and efficiently through the office. Keep up with 3rd party Vendors and their requests and find possible ways to eliminate the need for them. Make daily balances to the daysheet. Encourage patient referrals and coordinate internal and external marketing Make sure data in the dental software is accurate and up to date. Run daily/weekly/monthly computer reports. Staff Along with the Practice Manager, performs the annual review with all team members. Helps to originate Office Policies, with approval from doctor(s), and distributes to team members. Filters messages and issues by being a liaison between the team and doctor(s). Help to reduce staff turnover. Know all of the front office job functions and fill in when necessary. Coordinate and schedule team meetings. Coordinate vacation schedules. Coordinate continuing education for each team member, office OSHA/CPR requirements. Enforce office uniforms and dress code. On a new employee’s first day, orient the person to office protocol and introduce them to team members who will be responsible for training. If applicable, track new employees performance for trial period and be prepared to assist in the decision to offer permanent employment or termination. Coordinate upgrade training on computer and training of new personnel on computer. Encourage team members to enter referral data. Run referral reports. All EOD sheets need to be check Office Handle unusual patient problems. Act as office supply source for inventory control and item ordering. Reduce patient attrition. Carry out other front office duties as directed by the doctors and Practice Manager Coordinate computer and equipment maintenance Read books that are assigned by the Practice owner, to help grow the business.
