OUR OFFICE IS GROWING and EXPANDING! Job Posting: TREATMENT PLANNER We are an Oral and Facial Surgery office since 2003 and are looking for an experienced Treatment Coordinator for a very busy office. We are a surgical center so the hours fluctuate, and you must be flexible. We have a great team, and we want someone who will fit in and work well with others. To perform this job successfully, an individual must be able to perform each of the essential duties listed below satisfactorily. Primary Responsibility: The Treatment Coordinators primary responsibility is to facilitate the patients office experience in being seamless and ensure the patient leaves well informed and prepared for their next appointment. The role of a Treatment Planner aims to provide a high level of customer service and to build excellent relationships with the patients. You help change the patients perception of their medical procedure, and at the same time increase the uptake of treatment plans for Surgeon. Marketing of office and Dr. Wiggins through physician referrals, physician offices and social media. Essential Duties and Responsibilities include the following: • A Treatment Coordinator who closes or assists in closing the treatment plans generated by the Surgeon • Prepare and present treatment plan and financial estimates to patients for all prescribed treatment • Schedule patient treatment appointments; reschedule patients that miss their appointment and call patients that have not completed their treatment • Manage the Surgeons schedule to achieve utilization goals through efficient use of appointment times. • Work with clinical team to effectively manage daily patient flow, providing communication and information to the appropriate individuals. • Re-verification of patient’s insurance Providers based upon treatment plan • Assist patient and/or family with financial arrangements • Complete pre-authorization and medical clearances, when needed • Handle all treatment paperwork including consent forms, policy forms and exit paperwork • Effectively communicate and develop a strong working relationship with Insurance Verification, Billing, Front Office and the Surgeon and promote teamwork through cooperative and professional behaviors • Marketing: Make marketing and appreciation calls to new and referring physicians each month • Marketing: Create and execute Social media campaign for marketing TXOFS • Answer and return incoming calls from patients and/or family regarding their treatment • Adhere to confidentiality, state, federal and HIPAA laws and guidelines with regards to patients records • Follow and demonstrate commitment to the Texas Oral and Facial Surgery, PA policies, professional standards and expectations • Other duties may be assigned Experience Required: • A Treatment Coordinator who closes or assists in closing the treatment plans generated by the Surgeon • Prepare and present treatment plan and financial estimates to patients for all prescribed treatment • Schedule patient treatment appointments; reschedule patients that miss their appointment and call patients that have not completed their treatment • Manage the Surgeons schedule to achieve utilization goals through efficient use of appointment times. • Work with clinical team to effectively manage daily patient flow, providing communication and information to the appropriate individuals. • Re-verification of patient’s insurance Providers based upon treatment plan • Assist patient and/or family with financial arrangements • Complete pre-authorization and medical clearances, when needed • Handle all treatment paperwork including consent forms, policy forms and exit paperwork • Effectively communicate and develop a strong working relationship with Insurance Verification, Billing, Front Office and the Surgeon and promote teamwork through cooperative and professional behaviors • Marketing: Make marketing and appreciation calls to new and referring physicians each month • Marketing: Create and execute Social media campaign for marketing TXOFS • Answer and return incoming calls from patients and/or family regarding their treatment • Adhere to confidentiality, state, federal and HIPAA laws and guidelines with regards to patients records • Follow and demonstrate commitment to the Texas Oral and Facial Surgery, PA policies, professional standards and expectations • Other duties may be assigned Education and Understanding Required: • Education High School Diploma or GED required • Knowledge, skills and abilities focused on customer service • Ability to communicate with others in a professional manner. • Attention to detail • Clinical experience in a Dental or Oral Surgery practice is preferred • Training or education in these areas will be considered • Preferred 1 year of Oral and Facial or Dental experience • Motivating team player and leader • Proficient in basic computer applications with the ability to learn new software • Demonstrate ability to perform basic arithmetic to understand general ledger and insurance benefits Physical Demands Required: • Ability to walk, sit, stand, talk, hear, type and see • Ability to lift and/or move up to 10 pounds The above statements are intended to describe the general nature and level of work being performed by the person assigned to this job.
