Essential Duties and Responsibilities: Represent the practice in a professional, pleasant, and cooperative manner while in the office and outside the office. Maintain regular, consistent and punctual attendance in accordance with assigned schedule and time off policy. Occasional travel required to participate in continuing education, seminars and for marketing. Dress code – Formal attire Attitude - Positive, friendly, upbeat, team mentality Maintain compliance with all company policies and procedures Cheerfully answer and speak clearly on the phone Support taking incoming calls pertaining to the orthodontic schedule New patient orthodontic telephone calls Gather information Get insurance information to the billing department Set up orthodontic and pediatric chart Knowledge of the insurance plans we accept/participate with Follow up with patients and parents Create, develop and maintain a recall system Maintaining the Patient Flow Fill last minute cancellations and open schedules Checking out/billing orthodontic patients Scheduling orthodontic appointments Taking Patients Records Overseeing new patient experience Office tour Assists new patient and hygiene exams including note taking Case acceptance Schedule to achieve daily goals Patient education (discussing treatment plans/options, showing appliance models) Creating financial arrangements and offering different payment options within the practice financial guidelines Consultations with patients and parents Documenting clinical notes Presents consent forms, have patient/parent sign and scan into documents Collecting payments / setting up auto-payments Marketing Develops and executes orthodontic marketing plan (coordinates with marketing team) Post any social media related material Coordinates/visits referring offices, schools, special events Other orthodontic marketing duties as assigned Patient tracking Referrals Acceptance of Treatment Records New Patients How many adults vs. children we see Reports to manager Support/fill-in for orthodontic dental assistant as needed Support/fill-in for other departments/positions as needed (ex – pediatric front desk, general assisting, etc…) Perform related duties as assigned by supervisor. Duties may change, be added or removed depending on the needs of the practice. Support training staff on job duties and/or office culture/philosophy Take on special tasks given by doctor or management.
