A private endodontic specialty group with multiple locations in metro Nashville, TN is in search of a Practice Administrator that exhibits quality service, commitment, accountability, and excellence. The Practice Administrator is responsible for providing superior customer service to team members by guiding and supporting them through various administrative activities, as well as creating a caring environment for our patients. This position will apply strong business acumen and leadership to identify and implement dental practice efficiencies while communicating proactively with clinicians, the EPP regional manager, and Practice Support Center. We are looking for someone with demonstratable professionalism, communication (verbal, written, and non-verbal), teamwork, and job knowledge. This position is in a dental practice / office setting. The Practice Administrator reports to the Regional Manager and has supervisory responsibilities. ESSENTIAL DUTIES AND RESPONSIBILITIES • Lead, coach, and train team members to provide exceptional patient services. Provide conflict resolution, motivation, and team building activities as part of your supervisory role. • Directly supports endodontists (doctors) in the practice by maintaining focus on productive scheduling, adequate staffing, and maintaining facility supplies. • Sets goals for performance based on previous performance and mission; designs strategy for meeting the goals. • Manages practice’s productivity and profitability; understand and adhere to monthly budgets. • Ability to multitask; organize daily huddles, practice meetings, etc. for operational efficiency and effective teamwork. • Support marketing initiatives and build strong relationships with referring providers and EPP locations in the area. • Facilitates resolution of client relations that are unable to be resolved by the doctor or other staff members. • Resolves financial concerns with patients and collects delinquent accounts and “NFS” checks; may determine specials financial arrangements when appropriate. Process patient refunds on a weekly basis to include supporting narrative. • Oversee processing of insurance claims and eligibility verification. Posting of insurance payments and any appropriate adjustments on a daily basis. • Assure EOD reports are complete with accuracy and are balanced. • Make daily bank deposits with accuracy. • Oversee Patient Reviews, monitor responses on a regular basis, follow-up if needed, and respond to all online reviews (Google, Yelp, Facebook). • Prepare accounts receivable reports daily and weekly. • Responsible for the practice’s OSHA and HIPPA compliance. Designs and administers safety and security regulations and training. • Maintains a facility that is visually appealing to patients and staff. To ensure practice standards are met and patient experience is prioritized, develops a schedule for facility maintenance; contracts for and supervises all maintenance activities. • Other projects as assigned. Leadership: • Promotes cooperative working environment among staff members; understands the value of teamwork; shows enthusiasm and willingness to perform as necessary to help the practice function as a unit. • Assist with hiring of employees for practice; provides ongoing feedback to teak members and assist with the annual employee reviews. • Prepares staff schedule and partners with doctor’s schedule. • Review and approval of employees paid time off and payroll. • Communicates objectives, motivates staff, builds and maintains morale, maintains core values and standards. Promotes continuous quality improvement. • Handles employee relation issues in cooperation with Regional Manager, HR, etc. when necessary. • While juggling multiple priorities, maintains a positive and cooperative relationship with other employees. Sets an example and standard to follow. QUALIFICATIONS • Bachelor’s degree in business administration or related field is preferred • Minimum 3 to 5 years of dental office management experience and/or equivalent education and experience is required. We need someone who has the knowledge and experience to jump into the role and make an immediate impact with little supervision. • Ability to use PC and office equipment; proficient in the use of Microsoft Office products • Certified Practice Manager designation is desirable but not required • Working knowledge with dental procedures, terminology, and dental insurance submission • Ability to travel to multiple dental office locations as needed • Work exposure to all aspects of a business enterprise with a demonstrated competence in budgeting and financial reporting and in managing a staff • Ability to plan, organize, be dependable, have extraordinary interpersonal skills, and the strong ability to problem solve; competence to multitask in a busy environment • Strong leadership skills with a high level of professionalism, personal ambition, and sound judgement • Excellent customer service skills; demonstrates poise, tact, and diplomacy • Ability to work from a broad aspect of supervision • Great written and oral communication skills • Excellent attention to detail • Ability to concentrate, think critically, and learn; willingness to adapt Endodontic Practice Partners LLC is an Equal Opportunity Employer.
