The Front Office Coordinator is the caretaker and guardian of the front office systems- the life blood of the front office. Plays an integral role in keeping the team and office running smoothly. Responsible for the overall management of the day-to-day front office operations of a fast-paced specialty practice to include patient flow, goal attainment staff training and operations of the office and front office staff. Responsible for running the operational systems associated with the front desk which includes:scheduling patients for dentists and hygienists, presenting treatment, overseeing filing claims, working the A/R and following up to ensure collections maximized. Ensures a positive environment for staff and patients. Will act as a liaison between staff and Owner/Dentist. May be required to assist in general front desk duties. Requirements: • Knowledge and proven success in dental office and staff leadership/management • Proven ability to lead and coach with respect while holding team and self-accountable for meeting goals and responsibilities • Exceptional Attention to detail • Outstanding customer service skills • Exceptional interpersonal skills to maintain effective communication with team, patients and referring offices • Conflict resolution experience • Sense of urgency • Must be focused, personable, punctual and can handle a busy dental office • Must value learning and professional and personal growth • Excellent computer and math skills Exemplary work ethic and attendance • Knowledge of Eaglesoft a plus Ensures: • All staff demonstrate excellent customer service and follow policy, procedures and protocols and enforces correction as needed • Generates and monitors reports and achievement towards goals and reports to Doctor and/or practice director • Works with staff and doctor to develop and monitor goals and policies • Assures staff meet deadlines on projects • Staff is entering appropriate codes, fees and other important patient data • Ensures office and all staff are OSHA and HIPAA compliant • Oversees safe environment for patients and staff • Ensures computers and equipment are in working order (works with clinical lead) • Communicates necessary changes with staff and owner • Establishes and ensures emergency procedures are followed when needed. • Stays abreast of industry advancements in business technology, software • Liasson with IT company to ensure smooth operations • Monitors expenses related to office supplies, equipment, software • Establishes staff schedule, daily strategy and duties and ensures quality patient care and outstanding patient experience • Ensures appropriate coverage per office policy and needs • Plans for helps conduct team meetings • Trains and rotates staff as needed to ensure employees are cross trained • Ensures CPR certification up to date, ensures required certifications up to date for licensed staff • Oversees onboarding and training for front office staff • Arrange emergency coverage for Dentist out of office • Handle time off requests to ensure coverage for office and adheres to policy • Coordinate Growth discussions and coaching with staff as needed • Assist with marketing, website, study club • Ensures timecard accuracy • Performs other duties as needed
