Job Description Dental Office must know Dentrix and Quickbooks (Not A Trainee position) Job Title: Part Time Business Administrator Summary: Maintain Administrative work, Bookkeeping, Account Payables and Receivables. Keeps track of allocations of money and make sure that financial records are accurate and up-to-date. Makes sure front desk operations are efficient and accurate at the end of each day. Essential Duties and Responsibilities: Immediate Responsibilities • Provide general supervision of all business aspects of the practice including but not limited to scheduling, clinical coordination, patient processing, patient care, and patient management • Prepare biweekly checks for all employees for Friday distribution Make sure that payroll is accurate and the payroll tax is paid in accordance with regulation to avoid penalties thru the ADP payroll system and times sheets from Dentrix software is accurate and signed by each employee. • Maintain accurate and organized files on employees • Manage employee issues and work-schedules/time sheets • Implementing and maintaining collection manager thru TEK Collect. • Reporting delinquent accounts after 120 days and keeping record of the report • Making sure that all correspondence with patient is being accurately logged into office journal and guarantor notes • Printing out standard billing following up on Aging Report and bringing to attention insurance delinquencies to the insurance/claims manager • Sort mail by priority • Review and pay invoices (review for accuracy of changes and delivery of goods and services prior to payment) • Maintain accurate and organized files on vendors and employee personnel files • Post checks received daily making sure they align with deposit slip and written ledger • Close out daily procedures. Cross check credit card slips with payment list, double check deposits, print daily production and deposit sheet. • Prepare all cash and checks for endorsement and deposit by the dentist • Reconcile monthly bank statement • Print standard billing list in collection manager at the beginning of every month • Print master account receivables quarterly to track progress Setting Goals and Managing • Analyzes and organizes office operations that effect overhead such as bookkeeping, preparation of payrolls, billing, and expenditures. • Advises Doctor on financial position and seeks out areas that need improving for profit optimization • Researches and develops resources that create timely and efficient workflow. • Plans yearly office budget and initiates cost reduction programs • Established uniform correspondence for billing and personal account collections • Negotiate contracts with suppliers, vendors, contractors, construction architects and realtors • Prepares activities reports for guidance of employee management • Responsible for communicating to corporate accountant for business tax purposes and managing required state and federal income tax forms • Prepare monthly reports on finances for dentist review (PandL, Balance sheet, A/R report, Production report, Statistics, Budget…) • Maintain up to date employee records in compliance with local, state and federal requirements Qualifications: MUST BE EXPERIENCED WITH DENTRIX DENTAL SOFTWARE AND QUICKBOOKS • This job requires integrity, extreme organization, planning, preparation, and record keeping skills. • Must be able to track accounts, paying attention to accuracy and possible discrepancies. • Communicate with employees, doctors, and patients for dispute resolution • Must be able to follow routine system to eliminate errors and practice follow through while showing good judgment. • Employee must be able to multi-task and operate under stressful conditions. • Employee must account for all balances and claims and be able to understand account records and ledgers. • Employee must be able to understand and communicate reports statistics and meaning. • Must be able to communicate in a manner that effectively maximizes results from all team members. Education /Experience: • 2-4 year’s college education in management systems. • At least 5 years administration experience. Language Ability: • Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information and communicate to staff. Math Ability: • Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret graphs. Able to use multidigit auditory machine and QuickBooks calculator Reasoning Ability: • Must be self reliant using discretion and proper judgment based on the variable involved with a particular decision. Must be able to improvise as well as follow written and oral instructions. Computer Skills: • Knowledge of Microsoft office (excel spreadsheet and word processor), QuickBooks, and Dentrix. Must be knowledgeable in Accounting software, payroll systems, internet software, human resource systems, and database software. Physical Demands: While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel, talk, and hear. The employee is frequently required to walk; reach with hands and arms. The employee occasionally is required to stoop, kneel, and crouch. The employee must regularly lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific visions abilities are required by this job includes; close vision, peripheral vision, depth perception, and ability to adjust focus.
