We are a busy, private practice orthodontic office looking for an incredible person to join our team! We are open to full time or part time! MAJOR DUTIES AND RESPONSIBILITIES: Assists the patient based on the patients reason for the visit. This includes checking the patient in/out, scheduling, answering questions, completing the necessary paperwork, etc. Answers incoming calls promptly, communicates in a courteous and respectful manner, and addresses callers needs to ensure patient satisfaction. Greets the patient with a smile and ensures the patient has a long lasting positive impression of the practice. Schedules patients as needed based on the office scheduling template. Provides any necessary documents (receipts, school notes, reminder cards, etc). Collects the necessary paperwork, ensures payment methods are gathered, and enters/scans all of the data into the Patient Management software. Assists with verifying orthodontic insurance coverage and relaying benefits to the patients. Backup for the Financial Coordinator to present contracts, enter payments and collect past due balances. Calls patients to reschedule all missed appointments, as well as works on the recall lists to schedule appointments that may be needed. Helps the insurance coordinator follow up with parents to get new insurance information when needed. Ensures that all information, as well as procedure codes, are accurately entered into the practice management software. Understands insurance benefits to effectively communicate to the patient. Follows the company policies pertaining to collections and financial protocols. Complies with all of the laws and regulations, including HIPAA, OSHA, etc. Follows all administrative procedures and policies to ensure consistent standards. Must be able to multi-task effectively. Other duties as assigned. EDUCATION and EXPERIENCE: A minimum of a high school degree or equivalant is required. Experience working in a dental office with direct customer service. SPECIFIC SKILLS: Excellent organizational skills; strong attention to detail, ability to multitask and perform job duties in a timely manner. Strong computer skills and ability to learn new programs as needed. Great interpersonal and relationship building skills, ability to establish and maintain positive working relationships. Effective written and verbal communication skills with all levels of employees and public. PHYSICAL DEMANDS: Walking, sitting, standing for extended periods of time. Ability to lift/carry up to 25 pounds. Work hours vary based on the specific office schedule/business needs.
