ESSENTIAL FUNCTIONS AND RESPONSIBILITIES include the following. Other duties may be assigned. Prepares employee work schedules. Analyzes and organizes office operations and procedures such as bookkeeping, preparation of payrolls, flow of correspondence, filing, requisition of supplies, and other clerical services. Evaluates office production, revises procedures, or devises new forms to improve efficiency of workflow. Opens and distributes mail. Posts daily charges and receipts to accounting systems such as dental management system, accounts payable, accounts receivable, general ledger and monitors all such entries made by other staff members. Compiles daily, weekly, monthly, quarterly and year end reports to show statistics such as cash receipts and expenditures, accounts payable and receivable, profit and loss, and other items pertinent to operation of business. Maintains petty cash account. Maintains separate general ledger accounts for dental partners. Formulates procedures for systematic retention, protection, retrieval, transfer, and disposal of records. Prepares agenda and assists doctor with staff meetings. Maintains office personnel records including such items as vacation, leave, wage, bonuses, absence records, performance reviews, terminations, and transfers in accordance with applicable laws and regulations. Determines staffing needs, recruits and assists with the hiring of necessary personnel. Conducts reference checks and schedules appropriate pre-employment tests for job candidates. Plans and conducts new employee orientation to foster positive attitude toward company goals. Schedules routine meetings with staff and dentists. Assists with preparation and facilitates employee performance evaluations. Handles all employee relations issues such as policy interpretation, staff morale, and benefits. MARGINAL FUNCTIONS AND RESPONSIBILITIES Greets patients and visitors. Schedules appointments and makes financial arrangements with patients. Answers the telephone and takes messages. Coordinates patient flow. Sends monthly statements to patients. Types X-ray cards. Files dental insurance claims.
