Financial Coordinator Job Description Reports To: Office Manager Summary of Position: The Financial Coordinator is an extended representative of the doctor and the practice. The primary responsibility is to create a healthy relationship with the patient/parent that will enable them to meet their financial agreement with the practice. The Financial Coordinator is responsible for all patient billing, third party billing, accounts receivable, accounts payable and insurance claims. Since the Financial Coordinator works at the front desk as well, s/he must smile and warmly greet every patient/family that walks in the office. Practice Responsibilities: Patient Management • Total accountability for financial management of patient care • Collect insurance information and work with Scheduling Coordinator to check for benefits prior to NP exam. • File insurance claims for starts and for patients with new insurance mid-treatment in a timely manner (within 24 hours of start of treatment) • Ensure a signed Financial Agreement is obtained prior to treatment • Prepare a daily financial action plan by reviewing the patients for the next day & determining their financial needs and status to be addressed at their appointment • Assist the Scheduling Coordinator by making appointments, answering the phone, taking and posting payments and other front office duties • Back up Treatment Coordinator as necessary Practice Management • Maintain information concerning frequently used insurance plans • Post patient charges, contracts, payments, and auto-draft payments into the computer daily • Balance the daily deposit and prepare the deposit slip daily • Run outstanding insurance reports daily – using a 1-31 day file. Contact insurance companies if any claims are outstanding at day 30. • Prepare & mail/email bills • Run patient/parent delinquency daily and using a combination of phone calls, e-mails and letters work to resolve the delinquency at day 10 • Prepare payables by matching invoice to the bill and give to Office Manager for payment • Refund overpayments • Monitor discounts, write-offs and adjustments to ensure accuracy • Have a complete understanding of all reports – daysheet, accounts receivable, deposit summary, ledgers, patient tracking reports, referral reports, Contract Monitor, Start log, and others Professional Relations Management ● Be an active participant in the Marketing Committees in order to help coordinate practice building and public relations efforts with patients, parents, referring and non-referring professionals, and the community. ● Professional correspondence with general dental offices. ● Delegate the acknowledgment of referral activity with cards and/or gifts. ● Help coordinate practice building and public relations efforts with patients, parents, referring and non–referring professionals, and the community. Practice Promotion ● Cooperatively work with the doctor and your entire team to promote the growth of the practice. This includes directly asking for referrals and delivering the highest level of customer service to our patients and their families. ● Seek to invite family members of current patients who are age 7+ to come in for an exam ● Request reviews for satisfied patients and families who know our practice well ● Maintain good relationships with referring dentists and other professionals in the community ● Support friends and family of current patients who could benefit from orthodontics to make an exam appointment ● Be an active participant in office social media efforts. Look for opportunities to take photos of our patients, team, and patient families. ● Attend office marketing activities ● Promotion of patient contests, deliver community dental health presentations, deliver dental gifts ● Work with Leadership Team to develop and implement approaches to attract a constant flow of new patients and to maximize referrals Miscellaneous ● Take responsibility for cleanliness of Reception and Front Office. ● Work with Office Manager to make sure information is accurate regarding daily, weekly and monthly reports. ● Be an active participant in staff meetings and committee meetings. ● Perform other tasks as assigned by the doctor. ● Work cohesively with fellow team members to provide an atmosphere of trust, mutual respect, and cooperation. ● Help with opening/closing procedures of office. Skill/Abilities: Interpersonal: Good interpersonal skills to maintain effective rapport with patients, parents, doctor,other staff members, and community. Writing Skills: Good composition skills for correspondence with patients and general dentists. Verbal Skills: Effective verbal skills to communicate with patients and parents both in person and on the telephone. Pleasant telephone voice and strong customer service skills. Problem Solving: Gentle persuasion skills in order to resolve delinquent patient accounts. Computer Skills: Proficient in Microsoft Word/Excel and Google web apps. Solid understanding of practice management system, radiographic/photographic software & presentation software Physical Requirements: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is required to do detailed work, using arms, hands, and fingers to manipulate the required office equipment. The employee intermittently is required to sit, stand, walk, stoop, bend and reach throughout the day. Good eye-hand coordination and manual dexterity is needed. Specific vision abilities include close vision, color vision, peripheral vision, depth perception, and ability to adjust focus. Must be physically able to administer CPR. In a small practice with only a few staff members, the employee may occasionally have to physically assist patients and move light equipment up to 25 pounds.
