🦷 Dental Practice/Business Coordinator Position Snapshot As the Dental Practice / Business Coordinator, you are the operational heartbeat of our busy pediatric dental practice. You’ll oversee all administrative, financial, compliance, HR, and marketing functions, ensuring the office runs smoothly, families feel welcomed and supported, and the practice continues to grow. This full-time, exempt position reports directly to the Practice Owner or Regional Manager and is based on-site. Occasional evening or weekend hours may be required for community events or special campaigns. Key Responsibilities & Time Allocation 🧸 Patient Experience & Office Management – 30% Manage day-to-day operations: scheduling, check-in/check-out, lobby flow, and parent communications. Maintain a child-friendly, safe, and welcoming office environment. Address patient concerns with urgency and empathy. Success Metrics: ✅ ≥ 90% patient satisfaction score ✅ 20% reduction in average patient wait time 💳 Financial Coordination – 20% Oversee insurance verification, claims submission, and timely payment collections. Reconcile daily deposits and manage accounts receivable. Run and interpret month-end financial reports. Success Metrics: ✅ 100% of claims processed within 30 days ✅ Accounts >90 days past due kept below 5% 👩‍💼 Team Leadership & HR Support – 15% Supervise front-office and administrative team members. Coordinate onboarding, licensure/CE tracking, scheduling, and performance feedback. Foster a supportive, collaborative team culture. Success Metrics: ✅ Staff retention above 90% ✅ Onboarding and credentialing completed on time ✅ Compliance & Safety Management – 10% Ensure full compliance with OSHA, HIPAA, and state dental regulations. Maintain documentation and prep the practice for audits and inspections. Success Metrics: ✅ Zero compliance violations ✅ Successful audit/inspection outcomes 📣 Marketing & Community Engagement – 15% Plan and execute local marketing campaigns, school visits, social media, referral outreach, and community events. Track ROI and manage marketing calendar and materials. Success Metrics: ✅ 10% annual increase in new patient starts ✅ Timely execution of well-attended community events 📊 Practice Growth & Reporting – 10% Compile and present weekly/monthly KPI dashboards. Analyze trends and recommend improvements for efficiency and growth. Success Metrics: ✅ Accurate, on-time reporting ✅ Clear recommendations leading to measurable improvements Required Qualifications Bachelor’s degree in Business Administration, Healthcare Management, Marketing, or related field (preferred) 3+ years of dental office management experience (pediatric preferred) Expertise in dental insurance billing and reimbursement procedures Proficient in Dentrix, Open Dental, or similar software, and Microsoft 365/Google Workspace Skilled in managing social media, coordinating events, and community outreach Strong leadership, communication, and problem-solving skills Preferred Skills Certified Dental Office Manager (CDOM) or similar credential Prior experience with healthcare/dental marketing Bilingual (Spanish/English) highly preferred Core Competencies Patient-Centered Mindset Leadership & Team Building Financial Acumen Compliance Rigor Marketing & Community Engagement Efficient Multitasking Work Environment & Physical Demands This is a fast-paced pediatric dental office with high patient volume.
