POSITION SUMMARY As a Treatment Coordinator & Marketing, you will be the bridge between patients and their orthodontic journey, guiding them through each step of their treatment with care and expertise. You will ensure community networks are strong and the consultations are filled. You will work with the orthodontist to develop personalized treatment plans, explain options, and ensure patients feel confident and informed. By managing appointments, handling insurance explanations and integrating OrthoFi, and providing exceptional customer service, you'll help create a seamless and positive experience for every patient. We’re looking for dedicated team members who are passionate about making a lasting difference in our patients' lives OBJECTIVES Consult with Patients: Meet with new and existing patients to discuss their orthodontic needs, explain treatment options, and answer any questions regarding procedures and expected outcomes. Ensure Treatment Plans Noted: Collaborate with the orthodontist to create personalized treatment plans based on patient needs and preferences. Present Treatment Options: Effectively communicate treatment recommendations, including the cost and timeline, ensuring patients are fully informed before proceeding. Manage Appointments: Schedule, confirm, and follow up on patient appointments, ensuring timely and organized patient flow with texts and video texts before and after appointments. Handle Insurance and Financials: Assist with insurance verification, billing, and processing claims, as well as discussing financial options with patients to make treatment affordable. Coordinate Care: Act as the main point of contact for patients throughout their treatment journey, ensuring all their questions are addressed and they feel supported. Ensure the assistant that takes their records submits the labwork accurately and efficiently. Track Treatment Progress: Monitor patient treatment milestones and make sure follow-up appointments are scheduled as necessary. Maintain Patient Records: Keep accurate and up-to-date patient files, documenting treatment plans, progress, and any changes made during the course of treatment. Provide Education and Support: Educate patients on treatment care instructions, helping them understand what to expect and how to care for their orthodontic appliances. Ensure Smooth Patient Experience: Make every patient’s visit seamless by addressing concerns, managing any issues, and ensuring a positive experience at every stage of treatment. Assist with Marketing and Promotions: Collaborate with the office team to promote treatment options and encourage referrals, contributing to the growth of the practice. Maintain Office Organization: Support overall office operations by ensuring all necessary documents and equipment are in place for smooth daily function. Problem-Solving: Handling unexpected challenges, such as appointment conflicts or financial concerns, and finding solutions that work for both the patient and the practice. Attention to Detail: Ensuring all patient information, treatment plans, and financial details are accurately documented and maintained. Teamwork: Collaborating effectively with orthodontists, dental assistants, and other team members to provide seamless patient care. Time Management: Managing multiple tasks and appointments while maintaining a calm and organized workflow. Adaptability: Adjusting to changes in treatment plans, patient needs, or office procedures while remaining flexible and positive. Customer Service Orientation: Creating a welcoming environment for patients, ensuring they feel comfortable, valued, and supported throughout their visit. EDUCATION AND EXPERIENCE High School Diploma or equivalent (Required) Registered Dental Assistant Certificate (Preferred) Minimum 1 year Dental office experience (Preferred) Minimum 1 year of patient care or customer service experience (Preferred) PHYSICAL REQUIREMENTS Ability to stand for long periods of time while assisting in dental procedures and managing patient care. Regularly lift and move up to 25 pounds, including dental equipment and supplies. Manual dexterity to handle small instruments and tools with precision. Ability to bend, kneel, or crouch to assist with patient care and reach treatment areas. Ability to work in a clinical setting with exposure to dental materials, sterilization chemicals, and radiographic equipment.
