Description

Reporting to the CEO and CFO, the Director of Operations will oversee the build out, licensure, and daily performance of all clinical and surgical operations. You’ll work side by side with external facility, IT, and Lean process consultants, and partner closely with the Marketing Director and HR Director to ensure every system is aligned, compliant, and relentlessly patient centered. Your mission is to transplant best practice DSO efficiencies—chair utilization, provider scheduling, hygiene recall, supply chain discipline—into a green field, multi specialty setting. PROJECT SNAPSHOT An innovative dental and surgical hub integrating three core pillars: a multi-specialty dental clinic, an ambulatory surgical center, and a training institution. The center features 56 dental operatories, hospital-grade ORs, and advanced training programs in multiple specialties including orthodontics, prosthodontics, and periodontics. Designed for patient-first care, academic excellence, and seamless full-scope treatment, it sets a new standard for clinical operations and specialty training. KEY RESPONSIBILITIES Regulatory Compliance:  ◦ Guide the licensing process (Texas ASC, CMS, OSHA, HIPAA, state dental board) and monitor ongoing adherence—drawing on specialized compliance counsel as needed. Operational Playbook:  ◦ Direct clinical leaders and consultants in drafting SOPs for multi specialty dentistry, perioperative services, sterilization, and support workflows; ensure consistency rather than writing every document yourself. ◦ Process & Quality Oversight: Review Lean Six Sigma analyses produced by external experts, validate KPIs for chair/OR utilization, and green light improvement projects. ◦ Workforce Coordination: Collaborate with the HR Director to sequence hiring, credentialing, and onboarding for up to 200 staff in Year1. Workflow Design & Rollout ◦ Map end to end clinical workflows (check-in to dismissal) for GP, pedo, prosth, endo, perio, ortho, and hygiene. ◦ Standardize room turnover and instrument flow; coordinate with Sterile Processing leadership. Technology Alignment  ◦ Oversee vendor partners implementing the integrated EHR/PMS platform; confirm cybersecurity and analytics meet board approved standards. Cross Functional Collaboration:  ◦ Synchronize operations plans with academic scheduling,  patient acquisition strategies, and clinical care protocols. Culture & Safety Leadership:  ◦ Champion transparent communication and a just culture, ensuring all teams adopt a high reliability safety mindset. KPIs & Dashboarding ◦ Define chair utilization, no show, and production KPIs; collaborate with IT vendor to surface real time metrics. Provider & Staff Scheduling ◦ Implement template based scheduling that balances specialty mix, same day access, and OR block time. ◦ Advise HR on ideal MA/aide and assistant ratios per specialty. Training & Onboarding Playbooks ◦ Develop bite sized SOPs and micro learning modules for assistants, hygienists, and front office staff. ◦ Run launch day dry runs and “dress rehearsals.” DSO Style Efficiency Initiatives ◦ Introduce supply ordering PAR levels, formulary controls, and inventory audits. ◦ Recommend chairside technology (intraoral scanners, digital work ticket systems) that shorten cycle time. Cross Functional Alignment ◦ Coordinate with the Director of Marketing on new patient capacity targets and with the CAO on resident rotation logistics. ◦ Feed operational data to the CFO for revenue modeling and to the Director of Operations for capital planning tweaks. WHY THIS ROLE Shape workflows from scratch, apply proven DSO discipline without red tape, and keep the flexibility of fractional work—while helping launch a flagship dental surgical center poised to redefine multidisciplinary care in Texas. Engagement & Compensation 2025: Fractional / Contract — average 20 hrs per week; mix of remote analysis + scheduled on site visits. (Travel and lodging covered for on site days) 2026: Full Time in person Compensation — competitive hourly or monthly retainer, plus milestone bonuses for hitting launch and throughput targets.
