Hays Dentistry is a boutique startup dental practice in Waxhaw, NC, dedicated to delivering exceptional care through strong patient relationships and personalized attention. Important Details Grand opening is scheduled for late Sept/early October Starting clinical schedule is Tuesday - Thursday with working schedule being Tues - Thurs or Mon - Thurs at first Growth, learning, and team-building opportunities provided regularly Paid time off Paid training Vision The Dental Assistant is the right-hand of the doctor taking care of all the needs of our patients. They create efficient delivery models and scans, instrumentation, and sterilization so the dentist can provide the best clinical care and results. They provide a calm and warm environment for patients who are otherwise anxious and concerned about “what is going to happen next.” The clinical skills required for getting ready for anesthetic, support of restorative/cosmetic procedures, and the taking of x-rays are delivered with the best outcomes. The Dental Assistant sets the tone for the appointment by engaging in purposeful conversations that identify patients’ motivators/concerns and captures all pertinent information through effective charting skills. The Dental Assistant supports patients’ clinical and emotional needs by ensuring that patients want the treatment that they need. They coordinate with the front office team to ensure seamless delivery and accountability for scheduling and follow-through on financial arrangements. The number one responsibility of all employees is patient care and meeting patient needs. This guide outlines responsibilities that must be accomplished daily, weekly, and monthly. DAI or DAII (DAII preferred): Must have passed North Carolina State Radiography requirements) Must have all applicable licenses and certifications Previous dental office experience preferred (although not required) Education High school diploma or GED Knowledge, Skills and Abilities Relationship-building skills Influencing skills Computer skills including digital radiographs and practice management software Teamwork and leadership skills Ability to market the practice Creative problem-solving skills Superb verbal skills with patients and staff Overall understanding of the practice’s philosophy and systems Organized charting skills Excellent clinical skills, expanded duties, x-rays, etc. Familiarity with all instruments necessary for each procedure and how the dentist likes to be supported Overall understanding of all aspects of the back office Disinfection and sterilization skills meeting or exceeding OSHA standards Motivated to stay up to date with medical, dental, and hygiene protocols Keen understanding of scheduling and financial systems in order to support the processes from the operatory Ability to function within a team environment as a supportive and positive contributor Ability to multitask and manage and prioritize time effectively Key Benchmarks/Goals of Role Daily, monthly and yearly production goals achieved Support of the overall goals and strategies per the Annual Plan Efficient procedures executed within the timed procedure guidelines Room turnover occurs in agreed upon time Effective debriefs and baton passes/hand-offs to front office team Patient referrals generated as a result of patient invitations Positive patient reviews of the back office experience Responsibilities Job Specific Take digital radiographs and can self-evaluate for retakes Take basic photo series using digital camera and phones/iPad Prepare patient for the appropriate procedures (seating, applying topical, etc) Instruct patients in post operative instructions for common procedures Support the doctor during the procedure through charting, instrumentation and note-taking Assist the doctor when examining hygiene patients when needed and make sure the patient’s record is complete and all services for the day’s treatment are recorded Maintain proper sterilization - package instruments in their correct groupings and check bur blocks for completeness and order Put away instruments in rooms and keep bur blocks and other supplies stocked Disinfect operatories between procedures Can effectively see that lab cases are checked in and are going out in a timely manner Can track doctor lab cases and proactively address late cases before the day of the appointment Can perform basic lab procedures like pouring up stone models, facebow mounting, fabricating bleaching trays, boxing up lab cases Communicate with labs to resolve any issues Utilize an efficient system to alert the front office that the case has arrived in the office Enter detailed and accurate notes of treatment and new patient exams Properly dispose of biohazard bags Ensure nitrous and oxygen tanks are changed when needed Perform “assistant only” procedures such as scanning, taking impressions/records, photos, and whitening procedures Can self-evaluate need for retaking impressions and scans Assists the doctor in case acceptance by having the ability to talk to patients about procedures and can handle objections Complete restorative and other appointment notes for doctors using templates Can pack retraction cord when asked during procedures Can make quality temporary crowns Can effectively place Invisalign buttons and give patient directions through Clincheck and Invisalign process Assist front desk when needed including tasks such as phone answering, appointment scheduling, greeting patients, taking payment and chart audit Practice Management Do a thorough chart review (including flags and medical alerts) and bring pertinent information to the huddle Review the schedule to share if there are any special needs or areas of concern to share with the staff Debrief and handoff patients appropriately so that the front desk knows what was done during the appointment and what the patient needs to come back for using benefit + procedure statements Organize the back office, sterilization, and lab areas Help manage the clinical inventory system by listing items that are low and alerting Dr. Hays Make sure post-op calls are completed as delegated with proper documentation Complete daily close out list Provide quality tours to new patients including pertinent areas and equipment and uses quality statements when introducing team members Ask for invitations daily Teamwork Look for projects to stay busy during down time Lead and participate in team meetings, huddles and training sessions with skills including facilitation and problem-solving Take initiative when practice is running behind or understaffed Communicate effectively with dentists, hygienists, assistants, and office management to ensure patient satisfaction Support practice goals related to productivity, case acceptance, and customer service Provide backup support to other team members during absences or high patient volume Assist front office when called upon as needed Assist hygiene when possible with charting, seating patients, x-rays and other tasks that help serve our patients Help keep back office clean and assist in end of day duties Embody the practice philosophy in all actions and decisions Fully utilize administrative time to prepare for next day All employees are not only expected to accomplish their own unique tasks but also actively assist co-workers and help the practice business, operations, and flow. Physical Demands While performing the duties of this job, the employee is regularly required to talk and hear. The employee is frequently required to stand, walk, use hands to stand, handle or feel, and reach with hands and arms. The employee is occasionally required to climb or balance, stoop, kneel or crouch. The employee must occasionally lift and/or move up to 25 pounds.
