Scheduling Coordinator – Valley Neighborhood Dental Center Location: Palmer, Alaska Employment Type: Full-time About Us Valley Neighborhood Dental Center is a patient‑centered general dental practice serving families in the Mat‑Su Valley. We focus on high‑quality clinical care, clear communication, and a warm, friendly environment for both patients and team members. We are looking for a Scheduling Coordinator who can help us keep an efficient, productive schedule while delivering an excellent experience to every patient. Position Summary The Scheduling Coordinator manages the daily schedule for our doctors and hygienists in Open Dental Practice Management Software, ensuring that appointments are booked efficiently, patients are seen on time, and the schedule supports the practice’s production and patient‑care goals. This position is often the first and last point of contact for patients and plays a key role in practice growth and patient retention. Key Responsibilities • Manage and optimize the schedule in Open Dental for doctors and hygienists, following practice scheduling templates and production goals. • Schedule, confirm, and reschedule appointments (new patients, operative, hygiene, emergencies, consults) by phone, text, and email. • Use recall/recare and unscheduled lists in Open Dental to keep hygiene and doctor schedules full and reactivate overdue patients. • Proactively fill last‑minute cancellations and broken appointments to minimize lost production. • Coordinate scheduling of emergencies and same‑day treatment in collaboration with the clinical team. • Gather and update patient information at scheduling and check‑in (contact info, insurance details, preferred communication, special considerations). • Provide clear information to patients about appointment times, basic financial expectations, and required paperwork. • Maintain accurate appointment notes and patient communication logs in Open Dental. • Participate in daily huddles, communicate schedule changes, and keep the team informed of potential bottlenecks or openings. • Support front office tasks as needed (greeting/check‑in, check‑out, assisting with routing slips/consent forms, etc.). • Support for back office operations including assisting with sterilization and seating patients Ideal Candidate • Experience in a dental front office or medical scheduling role is preferred, but we will consider the right candidate with strong customer service experience and the ability to learn quickly. Outgoing, “People Person” is a must • Familiarity with Open Dental or other dental practice management software is a plus. • Strong phone and in‑person communication skills; able to convey warmth, professionalism, and clear information. • Organized, detail‑oriented, and comfortable managing a busy phone and front desk environment. • Able to prioritize tasks, adapt to schedule changes, and stay calm under pressure. • Team‑oriented mindset with a genuine desire to help patients receive timely care.
