Quest Orthodontics is a private orthodontic practice (not a chain) dedicated to providing patients with fabulous orthodontic services and experiences in the most personalized and caring workplace. This position is key to our smooth daily operations especially now that we are growing into our second office location. Our clinical manager’s responsibilities include clinical team HR management, process improvement, annual compliance tracking (CPR, OSHA), communications with outside resource support services, routine correspondences with referring doctors, assembling reports and overseeing supply orders. Acting as an extension of Dr. Patel’s core values, our manager’s diplomatic, positive, and respectful communications will continue to build our harmonious work culture. Here’s some context for better understanding: Orthodontics is a small area in healthcare and, just like most dental related programs, the focus is on clinical skill development and there is an absence of true management training. Skilled managers can efficiently add the layer of “orthodontic technical skills” to their accomplishments by working closely (for several weeks) with our seasoned techs, gaining guidance from Dr. Patel, and participating in an online program called “Trapezio.” To sum it up, we are seeking a seasoned manager to bring your talents into our orthodontic practice; no prior orthodontic experience is needed (although it is valuable if possessed). It’s your management skills and general understanding of the dental industry that “takes the cake”. We’ll provide the icing of “orthodontic technician training”!

Personnel and administrative responsibilities: oversee clinical staff time-off requests and general HR management matters, arrange and facilitate performance coaching, interview and hiring processes, find new ways to express thanks and gratitude for jobs well done, consistent performance, and for going “above and beyond.” Catch any conflictual issues when small and gain resolution, communicate over time-off requests, staff handbook compliance, review payroll hours and manage payroll related communications, organize and run team meetings (with our Admin manager).
Business Development Operations Management: complete monthly metrics to compare with goals and prior business performance, work with the team to develop plans and priorities for continuous process improvement, monitor online reviews, oversee technology changes, equipment repairs, building maintenance matters, manage aspects of the accounts payable related to the purchase of supplies and processing of orders, check bills and invoices for accuracy, identify cost savings opportunities, completing financial management reports.
Customer Service, Clinical Services, and Communications: Seek feedback from patients and parents always eager to discover news ways to enhance their positive experiences, generate letters to key referring doctors, keep routine meetings and programs scheduled for OSHA and CPR compliance, work with admin team to adjust the master schedule as needed, be ‘on point’ to handle/resolve complaints, oversee the flow of our clinical operations and when bottlenecks occur step in to offer that extra needed pair of hands, provide coverage when short-staffed in the clinical area.
Do you meet the qualifications to apply?
A qualified manager candidate does not need to have prior orthodontic practice management experience to apply (even though that work history is helpful to the learning curve of this position). The following list of criteria is imperative to success:
1. Initiative to dive-right-in to learn the technical side of providing orthodontic care from the perspective of an orthodontic technician. (Management responsibilities will be implemented after 4-6 weeks of orientation if the selected manager has no or limited orthodontic experience.)
2. Minimum 3 years of personnel direct-report supervisory experience within the context of “manager” or “clinical team lead.”
3. BS, BA, or MBA from accredited university ideally in Business, Healthcare Administration, Communications or related major. Candidates who do not possess a bachelor’s but whose work experience has provided excellence in education and experience will be considered.
4. Excellent written and verbal communication skills to be able to sensitively and tactfully have the periodic “tougher conversations” to improve actions and gain positive results while minimizing or preventing unnecessarily hurt feelings from staff members.
5. Technical aptitude to quickly learn software and lead initiatives, supported by team member ideas and input, to improve internal processes and communications.
6. Quick to build rapport with parents/guardians and skillful at de-escalating the rare, but periodic grievance.
7. Demonstrate/model for staff: professional conduct, superb communication, excellent tracking of details and follow up, and passion for serving others.
8. Preference to juggle many tasks and varied responsibilities with the pleasure of seeing how your efforts directly impact the success of the business, your co-workers, and your professional growth.
9. Stable work history.
10. Calm, approachable temperament with the ability to continue seeing “the big picture” and remain confident when stressful challenges arise.
Compensation and work hours:
This is a full-time position, Monday-Thursday. Excellent wages and benefits! Most every weekend is a 3-day weekend! No weekend hours & no evenings. Excellent career growth opportunities!
