Dental Front Office Coordinator / Office Administrator Location: Tomball, Houston, Texas About Our Practice: Camarata Family Dental is your choice for a local family dentist. Our mission is to take care of each patient as an individual, each with specific wants and needs. We want to get to know you, not just your teeth! Located in Tomball, with easy access from Highway 249, we proudly serve the Tomball, Northpointe, Spring, Klein, and Champions areas of Houston, Texas. Job Summary: We're seeking a highly organized, personable, and proactive Dental Front Office Coordinator to join our team. This role is crucial to the smooth operation of our practice, serving as the first point of contact for our patients while also assisting with key administrative and partial managerial duties. The ideal candidate will possess strong communication skills, a keen eye for detail, and a commitment to delivering outstanding patient service. Previous work experience is required, and while experience in customer service, healthcare, or dental fields is a plus, it's not mandatory. Key Responsibilities Front Office & Patient Coordination (70%): * Patient Welcome & Check-in/out: Warmly greet patients, manage patient flow, update demographic and insurance information, and process payments. * Scheduling: Efficiently schedule and confirm appointments, manage recalls, and optimize the daily schedule to ensure productive days for providers. * Phone Management: Answer incoming calls with professionalism, address patient inquiries, handle voicemails, and direct calls appropriately. * Insurance Verification & Processing: Verify patient insurance eligibility and benefits, assist patients with understanding their coverage, and submit claims accurately. * Financial Coordination: Discuss treatment plans and financial arrangements with patients, process payments, and manage accounts receivable. * Record Keeping: Maintain accurate and confidential patient records in the practice management software. * Office Presentation: Ensure the reception area and common spaces are tidy, welcoming, and organized. * Patient Communication: Proactively communicate with patients regarding appointments, treatment plans, and any other relevant information. Partial Managerial & Administrative Duties (30%): * Team Support: Assist the Office Manager/Dentist with various administrative tasks to support the overall efficiency of the practice. * Inventory Oversight (Partial): Assist in monitoring and ordering office supplies, ensuring necessary stock levels are maintained. * Problem Resolution: Address patient concerns and navigate challenging situations with professionalism and a solutions-oriented approach, escalating as needed. * Process Improvement: Identify and suggest improvements to front office workflows and patient service protocols. * Team Collaboration: Foster a positive and collaborative working environment with clinical and administrative staff. * Basic Reporting: Assist with generating basic reports related to patient scheduling, insurance, or other operational metrics as requested. * Compliance: Adhere to all HIPAA regulations and maintain patient confidentiality. Work Schedule * Monday: 8:00 AM - 5:00 PM * Tuesday: 8:00 AM - 5:00 PM * Wednesday: Half-day (except for one full Wednesday per month) * Thursday: 8:00 AM - 5:00 PM * Friday: No working hours Qualifications * Required: Previous work experience in any professional setting. * Preferred (but not required): Experience in a customer service, healthcare, or dental office environment. * High School Diploma or equivalent. * Strong computer proficiency, including experience with office software (e.g., Microsoft Office Suite). * Excellent verbal and written communication skills. * Exceptional organizational skills and attention to detail. * Ability to multitask and prioritize effectively in a fast-paced environment. * Professional demeanor with a positive and empathetic attitude. * Ability to work independently and as part of a team. * Strong problem-solving abilities.
