Dental Office Manager Job Description and Duties ________________________________________ Position Overview: The Dental Office Manager is responsible for overseeing the day-to-day operations of the dental practice to ensure high levels of efficiency, patient satisfaction, team collaboration, and financial performance. This role provides leadership and support to both the front office and clinical teams while ensuring compliance with all policies, procedures, and regulations. ________________________________________ Essential Duties and Responsibilities: Operational Oversight: • Oversee daily operations of the dental office to ensure smooth and efficient workflow. Ensure that employees are clocked in and out appropriately. • Manage team schedules, time-off requests, and staffing levels • Ensure huddle is prepared and outstanding treatment is presented. • Ensure compliance with OSHA, HIPAA, and state dental board regulations. Monitor CPR certifications and licensing requirements for all employees, including doctors. • Coordinate facility maintenance, repairs and supply management • Pay lab bills as delegated by doctor. Financial and Administrative Management: • Monitor and manage office budgets, and expenses. • Oversee team members that manage patient billing, collections, and insurance claim processing • Generate and analyze reports from patient management system to evaluate office performance and production goals • Maintain accurate records and documentation of all administrative procedures and create new one as needed. • Support Treatment Plan Coordinator with presenting treatment plans to assist in achieving case acceptance goals. • Present doctor/practice director with end of day report showing all transactions. Team Leadership and Development: • Lead, support, and evaluate front office and clinical team performance • Conduct regular staff meetings and one-on-one coaching sessions • Onboard, train, and mentor new team members • Handle employee concerns and performance issues in collaboration with the dentist/owner Patient Relations and Service Excellence: • Support a positive, welcoming experience for patients • Address patient complaints and service concerns with professionalism and empathy • Ensure timely scheduling, patient follow-up, and communication practices • Promote treatment plan acceptance and support financial coordination as needed ________________________________________ Core Competencies: • Strong leadership and communication skills • Highly organized and detail-oriented • Problem-solver with sound judgment and decision-making skills • Ability to handle confidential information with discretion • Patient-focused with a positive and professional demeanor ________________________________________ Working Conditions and Physical Requirements: • Standard office environment within a dental practice • Frequent sitting, standing, and computer use • Occasional lifting of up to 15–20 lbs • May require flexible hours based on patient or team needs
