Position Overview We are seeking a detail-oriented and organized Billing and Insurance Administrator to join our growing dental team. This role is essential to ensuring accurate billing, efficient insurance processing, and clear communication with patients regarding their accounts and benefits. Key Responsibilities • Verify dental insurance benefits and eligibility • Submit, track, and follow up on insurance claims • Post insurance payments and reconcile accounts • Manage patient billing, statements, and payment plans • Communicate clearly with patients regarding insurance coverage, balances, and financial options and Treatment Plans • Work closely with the clinical and front office teams to ensure accurate documentation and coding • Maintain compliance with dental insurance guidelines and office policies • Present Treatment Plans and Financing Options to Patients Qualifications • Previous dental billing and insurance experience required. (At Least 2 years of Experience.) • Knowledge of dental insurance plans, CDT codes, and claim submission processes • Experience with dental practice management software (Dentrix) • Experience with Presenting Treatment Plans to patients • Strong attention to detail and organizational skills • Excellent communication and customer service abilities • Ability to multitask and work efficiently in a fast-paced environment What We Offer • Competitive compensation based on experience • Supportive and team-oriented work environment • Consistent schedule with work-life balance • Opportunity to be part of a friendly, patient-focused practice How to Apply Interested candidates are encouraged to submit their resume and a brief cover letter detailing their experience to [sign in to DentalPost to see current contact info] Your Mission • Take over and internalize our current outsourced billing process, becoming the single point of accountability. • Execute a high-efficiency insurance billing and collections system using Dentrix, Vyne, and Weave. • Ensure 100% of claims are submitted daily and appeals resolved rapidly. • Lead insurance verification process for all patients with urgency and accuracy. • Post payments in real time and conduct weekly audits to reconcile billing discrepancies. • Own the AR aging report and implement strategies to bring all collections under 60 days. Key Responsibilities Billing & Insurance Leadership • Submit, track, and manage all insurance claims via Vyne and Dentrix. • Perform insurance eligibility and benefit verification prior to appointments (same-day turnaround). • Oversee payment posting and resolution of EOB discrepancies. • Proactively manage and resolve claim denials and appeals. • Monitor and maintain monthly KPIs, including collection ratio and AR aging. • Collaborate with front office and clinical teams to ensure proper coding and documentation. • Present Treatment Plans to Patients • Present Financing Options to Patients (Cherry, CareCredit, HFD, and Affirm) Process + Communication • Communicate clearly and professionally with patients regarding balances, statements, and insurance breakdowns. • Follow up with patients on outstanding balances. • Educate and hold team members accountable to proper documentation protocols that impact claims. • Serve as the point of contact for insurance representatives and vendors. Tech Stack You’ll Lead • Dentrix – Insurance, billing, and payment tracking • Vyne – Claims and documentation submission • Weave – Patient communication (text/email) and payment follow-up automation You will also contribute to automation strategy and AI-enhanced processes for real-time verifications, claims tracking, and patient payment alerts.
