Description

Core Job Duties of a patient coordinator are as follows: Patient Experience & Communication - First Point of Contact: Welcome patients, answer multi-line phones, and manage patient inquiries via text or email. Patient Advocacy: Act as a 'right-hand person' for patients, helping them navigate complex treatment plans and alleviating anxieties. Check-In/Check-Out: Register new patients, provide HIPAA documents, and handle the formal check-out process including payment collection. Scheduling & Operations - Appointment Management: Efficiently schedule and confirm appointments to maintain a productive flow for doctors and hygienists. Schedule Optimization: Adjust schedules as necessary to fill gaps and manage 'quick call' lists for efficiency. Record Keeping: Update electronic health records, scan patient forms, and manage document centers. Treatment & Financial Coordination - Treatment Presentation: Explain clinical treatment plans developed by the dentist in plain language, emphasizing the 'why' behind each procedure. Financial Arrangements: Discuss fees, arrange payment contracts, and present various financing options to improve case acceptance. Insurance Verification: Verify insurance benefits, obtain pre-authorizations, and educate patients on their coverage limits. Administrative & Support - Billing & Payments: Process payments, manage daily deposit balancing, and resolve billing issues with insurance companies. Clinical Support: In some practices, this role may involve basic dental assisting or helping with sterilization if the schedule is running behind. Office Maintenance: Ensure the reception area is clean and organized, which may include managing reading materials or watering office plants. Required Skills Expertise in Dental Software: Proficiency in platforms like Open Dental, Dentrix, or Any cloud based softwares. Sales Acumen: Ability to guide patients toward accepting necessary treatment through confidence and trust-building. Insurance Navigation: Deep understanding of dental terminology and PPO/Denti-Cal insurance structures. Speaking Spanish is a + , Any experience with cloud softwares like Curve dental is a + .
