Scheduling Coordinator – Alaska Advanced Dentistry Location: Anchorage, Alaska Employment Type: Full-time About Alaska Advanced Dentistry Alaska Advanced Dentistry is a well established (over 30 yrs!!) dental practice located in Anchorage, Alaska, dedicated to delivering exceptional patient care through advanced techniques, modern technology, and a compassionate, patient-centered approach. Position Overview We are seeking an enthusiastic, highly organized, and patient-focused Scheduling Coordinator to be the welcoming first face and voice of Alaska Advanced Dentistry. This pivotal role is responsible for ensuring our practice's schedule remains consistently full and optimized, directly contributing to our operational efficiency and patient satisfaction. The ideal candidate will possess exceptional communication skills, a proactive approach to schedule management, and a genuine desire to provide outstanding patient experiences. This role also involves close collaboration with our billing coordinator and occasional support for back-office sterilization tasks. Key Responsibilities • Manage and optimize the schedule in Dentrix for doctors and hygienists, following practice scheduling templates and production goals. • Schedule, confirm, and reschedule appointments (new patients, operative, hygiene, emergencies, consults) by phone, text, and email. • Use recall/recare and unscheduled lists in Dentrix to keep hygiene and doctor schedules full and reactivate overdue patients. • Proactively fill last‑minute cancellations and broken appointments to minimize lost production. • Coordinate scheduling of emergencies and same‑day treatment in collaboration with the clinical team. • Gather and update patient information at scheduling and check‑in (contact info, insurance details, preferred communication, special considerations). • Provide clear information to patients about appointment times, basic financial expectations, and required paperwork. • Maintain accurate appointment notes and patient communication logs in Dentrix. • Participate in daily huddles, communicate schedule changes, and keep the team informed of potential bottlenecks or openings. • Support front office tasks as needed (greeting/check‑in, check‑out, assisting with routing slips/consent forms, etc.). • Support for back office operations including assisting with sterilization and seating patients Ideal Candidate • Experience in a dental front office or medical scheduling role is preferred, but we will consider the right candidate with strong customer service experience and the ability to learn quickly. Outgoing, “People Person” is a must • Familiarity with Dentrix operating system or other dental practice management software is a plus. • Exceptional communication skills, a proactive approach to schedule management, and a genuine desire to provide outstanding patient experiences • Organized, detail‑oriented, and comfortable managing a busy phone and front desk environment. • Able to prioritize tasks, adapt to schedule changes, and stay calm under pressure. • Team‑oriented mindset with a genuine desire to help patients receive timely care. The successful Scheduling Coordinator will demonstrate a professional, empathetic, and proactive demeanor in all patient interactions.
