Position Overview: The Front Office Coordinator is the first point of contact for patients, and you’ll play a key role in creating an inviting and organized atmosphere for everyone who walks through our doors. You’ll handle phone calls, schedule appointments, collect payments, and assist with other administrative duties while ensuring the highest level of patient satisfaction. Key Responsibilities: Patient Interaction & Customer Service: -Answer phone calls and respond to patient inquiries with a friendly, professional, and empathetic tone. -Schedule, reschedule, and confirm patient appointments while ensuring optimal time management for the doctor and staff. -Assist patients with understanding treatment plans, financial obligations, and insurance benefits. -Collect payments for services rendered and manage patient billing with accuracy and professionalism. -Ensure a smooth check-in and check-out process for patients, maintaining a high level of customer service. Financial Collection & Insurance Verification: -Collect co-pays, outstanding balances, and full payments at the time of service. -Process patient insurance claims, verify coverage, and inform patients of their financial responsibilities. -Handle billing inquiries, including payment plans, statements, and follow-up on overdue balances. -Work with patients to arrange financial arrangements or payment plans if necessary. Administrative Support: -Handle all general office duties, including filing, organizing patient records, and maintaining a tidy, welcoming front office area. -Process insurance verifications, obtain treatment authorization, and assist with patient forms. -Maintain patient confidentiality and comply with HIPAA regulations. -Assist in keeping the office running smoothly by following established procedures and protocols. Systems & Processes: -Follow office processes for appointment scheduling, financial collections, and patient interactions to ensure a seamless patient experience. -Use dental office software to manage patient information, schedule appointments, track payments, and update treatment plans. -Stay organized and detail-oriented to ensure accurate records and smooth daily operations. Required Qualifications: -Previous experience in a dental or healthcare office is preferred. -Excellent phone etiquette and communication skills. -Comfortable collecting payments and handling financial transactions. -Strong organizational skills and attention to detail. -Proficient in using office software (or willingness to learn). -Ability to multitask and work efficiently in a fast-paced environment. -Empathetic and patient-focused approach to customer service. -Ability to maintain confidentiality and follow HIPAA guidelines. Preferred Qualifications: -Experience with dental insurance billing, coding, and verification. -Bilingual (English/Spanish) a plus. -Knowledge of dental office management software is a plus.
