What is this Role? You are the first voice, first face, and final impression of our practice. This role controls: • How patients feel when they call • How smoothly the entire office runs • How professionally finances and scheduling are handled You are not “just front desk.” You are our Patient Experience & Systems Coordinator. Key Responsibilities Scheduling & Flow Control • Manage productive scheduling blocks • Confirm appointments with structured call systems • Manage ASAP lists, broken appointments, and reactivations • Protect doctor and clinical production time Patient Communication • Handle all incoming calls with professionalism and empathy • Guide patients through scheduling, check-in, and checkout • Deliver a calm, confident, high-end patient experience Insurance & Financial Coordination • Verify benefits and explain coverage clearly • Translate insurance information into patient-friendly language Collections & Payments • Maintain daily, weekly, and monthly collection goals • Conduct financial conversations with integrity and professionalism Daily Accountability • End-of-day checklists • Performance tracking • Self-evaluation and continuous improvement Who This Position Is For? This role is ideal for someone who: • Takes pride in doing things correctly • Is emotionally intelligent and calm under pressure • Loves systems, structure, and accountability • Communicates clearly and professionally • Truly cares about patient experience • Wants long-term stability and team connection • Has previous experience in hospitality/ customer care (1 yr preferred) • Understands medical terminology (1 yr preferred) • Is resourceful and comfortable being autonomous • Has experience with dental systems (preferred) Technology & Training You will work in a modern, high-tech practice environment, including: • Digital scheduling and patient management systems • Automated confirmations and workflow We will train you, however, we also expect independent growth, adaptability, and ownership.
