About the Role
Run the Practice Like You Own It
We're a busy, growth-minded dental practice looking for a Office Manager who will treat this office like their own business — not just keep the lights on.
You'll lead a team of 20+ clinical and administrative staff, own the numbers, and be the person the doctor trusts to make the call when they're chairside. If you're the kind of leader who reads a production report and immediately knows what to fix, this is your seat.
This is not a front-desk role with a nicer title. It's a true operator role with real authority and real accountability.
What You'll Own
Team leadership (20+ staff)
Hire, onboard, train, and develop both clinical and administrative team members
Set clear expectations and hold the team to them — including hard conversations
Run daily huddles and monthly team meetings that actually move the needle
Conduct performance reviews and drive a culture people want to stay in
Business performance
Own monthly, quarterly, and annual production and collections goals
Oversee accounts receivable, insurance claims, and aging reports — no surprises
Build and manage the operating budget; control supply and overhead spend
Read and act on KPIs: production per provider, hygiene reappointment rate, case acceptance, new patient flow, no-show and cancellation rates
Negotiate with vendors, labs, and suppliers
Schedule and patient flow
Keep the doctor and hygiene schedules productive and full
Fix the schedule proactively — fill holes, manage recall, reduce open time
Oversee treatment plan presentation and financial arrangements to support strong case acceptance
Patient experience
Set the standard for how every patient is greeted, treated, and followed up with
Resolve patient concerns before they become reviews
Protect and grow our reputation, reviews, and referrals
Compliance and administration
Maintain OSHA, HIPAA, and Texas state compliance
Keep employment records, policy manual, and required postings current
Oversee end-of-day close and deposits
Manage facility, equipment, and IT vendor relationships
What You Bring
Required
5+ years in a dental practice, with 3+ years managing a dental office
Proven experience leading a team of 10 or more
Strong command of dental practice management software and dental insurance
Comfort with numbers — you can build a budget, read a P&L, and explain a variance
Willingness to make decisions and be accountable for the outcome
Strongly preferred
Experience in a practice with 15+ team members or multiple providers
Background in a cosmetic or fee-for-service practice
Track record of measurable improvement: production growth, reduced AR, lower turnover, higher case acceptance
