JOB DESCRIPTION
JOB TITLE: Front Office Team Lead DATE:
REPORTS TO: Senior Manager and Office Doctor Manger FLSA STATUS: Non-Exempt
JOB SUMMARY: This position is responsible for management of daily administrative clinic operations.
ESSENTIAL JOB FUNCTIONS:
• Supports the philosophy, goals, and objectives of the practice.
• Adheres to OMA policies, procedures, including those set out in the employee manual, in performing job duties and responsibilities.
• Communicates effectively, respectfully and courteously with patients, visitors, doctors, and co-workers.
RESPONSIBILITIES:
Responsible for the overall daily operation of the OMA Clinic administrative and clinical functions.
Supervises Clinical Administrative Staff responsible for performing the following:
• Patient appointment check-in and check-out.
• Collection of patient payments.
• Patient appointment scheduling.
• Verifies patient insurance coverage and determines patient out of pocket expense.
• Posts all charges, payments, and adjustments to the patient’s account. Correct posting errors as needed.
• Medical Records maintenance.
• Coordinates patient insurance information with Billing and Accounting Director/Billing Staff.
Works with the designated Clinical Team Supervisor for the OMA Office in the discharge of clinical duties and patient care.
Helps develop and implement an Annual OMA Office Marketing Plan in conjunction with OMA Marketing Coordinator and Senior Management
Handles and resolves patient disagreements and disputes.
Has authority to discipline and terminate employees in coordination with Senior Manager/Office Doctor Manager.
Prepares and completes performance evaluations for OMA Office
Coordinates or delegates the scheduling of hospital cases, outside services (i.e. imaging, MRI, CT), IHS, VA, DOC, workers comp or any other non-standard referred patients.
Assists with preparing credentialing paperwork.
Reviews, corrects and approves daily collection/payment reports.
Prepares daily, weekly, monthly reports as required.
Approves subordinate time off requests and time sheets.
Works with OMA Doctor Manager and Senior Manager concerning budgetary guidelines and KPI
Attends monthly leadership meetings
Performs other duties as assigned by Practice Executive or Doctor Manager.
PHYSICAL REQUIREMENTS
This is sedentary work that requires the following physical activities:
• Sitting or standing for long periods, walking, finger dexterity, feeling, repetitive motions, talking, hearing, and visual acuity.
• Occasional lifting up to 20 lbs. of computer equipment or supplies.
WORKING CONDITIONS:
Normal office environment.
