Position Summary: Dental Front Office Admin: Hygiene Care Coordinator Under Direct and Indirect Supervision, Answer inquiries and obtain information for general public, patients, visitors, and other interested parties. Provide information to callers; Perform routine clerical and administrative functions such as drafting correspondence, scheduling appointments, organizing and maintaining paper and electronic files. Responsible to prepare, present, and schedule patients for treatment plans following Dentist’s and/or Associate Dentist’s exam notes and direction. Set up any financial arrangements, collect payments from patients and insurance companies. Direct and ensure compliance of office personnel on company policy regarding collection procedures and practices. Under Direct and Indirect Supervision, compile, process, maintain and report records of clinic patients for the Practice, other medical, and dental personnel, and other qualified interested parties always maintaining the highest security, privacy, ethical, legal, and regulatory requirements of the health care system. Essential Functions: Scheduling and maintaining Hygiene Care patient appointments. Operate telephone to answer, screen and forward calls, providing information, taking messages and scheduling appointments. Collecting payment at time of appointment. Must be comfortable handling multiple calls at the same time by asking current callers if it is ok to be put on hold if appropriate or ask permission to call back in 5-10 minutes when you have time to devote 100% of your attention to them. Greet visitors (by standing if possible) and callers, handle their inquiries, and direct them to the appropriate persons according to their needs. Keep patients in reception area updated of schedule changes or if clinical team is running behind schedule. Understanding and effectively implementing block booking to help practice reach its daily goal. Learn to operate new office technologies as they are developed and implemented. Stocking and tidying up reception area. Daily correspondence and sending and receiving documents from specialists. Understanding and utilization of Appointment Reminder software “YAPI” for confirmation of patient appointments. Generating all pertinent daily, weekly, monthly, and yearly financial reports and weekly correspondence and sending of reports to bookkeeper. Changing pre-recorded phone messages daily to reflect our schedule. Coordinate time-off coverage with other doctors in the area. Present and explain plans to patients before treatment(s) is performed. Have extensive knowledge of current CDT (Current Dental Terminology) codes, when to use them appropriately, and how to maximize reimbursements correctly and ethically for always “coding what we do”. Ensure timely collection from patients, including payment or insurance processing as necessary. A basic understanding of the clinical treatments the practice offers. Provide, and complete insurance paperwork and obtain information from patients’ insurance provider(s) as needed to ensure payment. Memorize and use scripts effectively both over the phone and in person. File and maintain records. Collect, sort, distribute and prepare mail, messages and courier deliveries. Provide information about the Practice, such as location of offices, employees within the organization, or services provided. Transmit information or documents to patients, using computer, mail, or facsimile machine. Must always represent the practice in a professional, pleasant, and cooperative manner. Must maintain regular, consistent and punctual attendance in accordance with core policies and time off policies. Must be able to comfortably and efficiently handle multiple deadlines and task assignments. Rotate phone coverage duty with other team members. Protect the security of records to ensure that confidentiality is maintained. Release information to persons and agencies according to regulations. Review records for completeness, accuracy and compliance with regulations and office procedures. Must be able to use practice software (DENTRIX & Dental Intelligence) proficiently, including but not limited to: scheduling appointments and taking/posting payments from patients, using treatment plan presenter and quarterly 80/20 reports. Send hand written appreciation notes to patients on a minimum weekly basis. Deliver gift baskets to patient’s place of work when appropriate. Must be able to work both independently and cooperatively in team settings. Occasionally there may be some travel, by car or plane, required in order for you to participate in continuing education or seminars. Other duties and tasks, as assigned periodically. Experience and Education: High School Diploma. Accurate typing at 40 words per minute. One Year Minimum customer service experience. Preferred Two Years experience, office front or office manager, DENTRIX experience Special Requirements: Job offer may be contingent upon successful completion of a background check
