Description

We are seeking a reliable, hard-working individual to join our team as an Office Manager for our growing practice in Murfreesboro. As Office Manager, you will utilize your management experience, team-building skills, and positive attitude to motivate your team to set and accomplish goals. The right candidate will be organized, possess the ability to multitask efficiently, and exhibit effective leadership skills. The Office Manager will be the primary contact for team members, while also acting as liaison between the practice and the Operations team. The ideal candidate will be committed to a “hands-on” management style, which includes assisting the administrative and clinical team members as needed. In addition to exceptional communication and organizational skills, candidates will lead in a positive, yet productive manner. Ideal candidates must have the desire to evolve as a leader, thrive under pressure, and work well with others. Required skills also include: Ability to work independently and proactively. Experience coaching/mentoring direct reports. Direct experience developing and managing practice level budgets. Superior customer service skills; capacity to analyze and resolve patient concerns. Possess strong problem solving and decision-making skills. Excellent time management and proven attention to detail. Duties & Responsibilities: Lead by example and coach the team to achieve goals, work together, and most of all create positive experiences for the patients. Oversee the task of maintaining a productive schedule that supports the dentist and hygienist in their efforts to provide patients with exceptional dental care in a comfortable environment. Oversee and monitor adherence to practice budget guidelines to maintain practice profitability. Assist team members with treatment planning presentation, reviewing plans and financial options with patients; analyze treatment acceptance and provide guidance on follow-up systems and protocol. Coordinate effective daily team huddles, facilitate monthly team meetings as well as quarterly practice progress meetings. Provide ongoing feedback, training and annual performance reviews for team members within the practice. Monitor adherence to protocols and guidelines as they relate to patient privacy (HIPAA) and team member safety (OSHA). Assist in the interviewing, on-boarding and training of new hires, in partnership with our dedicated Human Resources team. The ideal candidate will have a strong understanding of company policies and will be responsible for consistently enforcing them with both patients and team members to ensure compliance and a professional environment. Oversee the execution of office management duties including, but not limited to: Present and coordinate financial arrangements with patients starting same day dental treatment. Ensure proper collection and maintenance of patient data, in accordance with industry standards, government regulations, and company policies. Monitor payment processing and verify all charges for services rendered are collected and posted daily with high-level of accuracy; Ensure daily deposit is balanced and closed at end of day. Coordinate the auditing of patient charts, review of schedule, and preparation for the next business day. Develop, implement and manage recall process and unscheduled treatment follow up system. Oversee the scheduling of staff and PTO request approval to ensure shift coverage. Maintain efficient and effective workflow between administrative and clinical team. Serve as the liaison between Operations Team, regarding Human Resources ,Payroll, Accounts Payable, Marketing, Supplies, Recruiting,& Employee Relations. Education & Experience Requirements: 3-5 years of previous management experience in a dental practice, or related industry. Working knowledge of Microsoft Office applications High School Diploma and/or GED Equivalent.
