Description

We are seeking a highly skilled and professional Dental Practice Office Manager to lead and coordinate administrative duties and office procedures. This role is pivotal in creating and maintaining a pleasant work environment, ensuring high levels of organizational effectiveness, communication, and safety. The Dental Practice Office Manager will play a crucial role in the seamless operation of our practice, fostering a culture of excellence and patient-centered care. RESPONSIBILITIES:  Patient & Doctor Support - Respond promptly to patient and doctor needs, ensuring exceptional service delivery. - Resolve patient concerns in accordance with company policies, healthcare regulations, and dental board standards. - Present treatment plans and financial arrangements with clarity and professionalism, including setting up payment schedules. - Manage patient scheduling and direct patient flow to optimize clinic efficiency. - Coordinate specialist referrals and ensure seamless patient transitions. - Oversee dental claims processing and coordinate with insurance companies for accurate, timely payments. Team Leadership & Collaboration - Recruit, train, and develop office staff, fostering a high-performing and dedicated team. - Manage employee relations, providing resources and support to ensure staff success. - Develop and monitor staff schedules to meet operational needs. - Collaborate closely with doctors to support clinical and business objectives. - Coordinate effectively with the corporate team to ensure alignment and communication. - Encourage innovation and operational improvements with an entrepreneurial mindset. Clinical & Operational Excellence - Ensure delivery of quality dental care by upholding the highest standards of practice. - Maintain compliance with privacy, security, and healthcare regulations, including OSHA standards. - Safeguard patient data and ensure secure record-keeping. - Maintain the appearance, hygiene, and functionality of the office, equipment, and facilities. Financial & Administrative Management - Oversee office budget, payroll, and accounts receivable to ensure financial efficiency and integrity. - Manage purchasing, supply orders, and equipment upgrades within budget. - Handle administrative functions including deposits, revenue posting, and invoice processing. - Run and analyze management reports to inform strategic decision-making. - Support marketing and promotional initiatives to enhance the practice’s visibility and patient engagement. - Prepare professional correspondence and reports to support business operations. MINIMUM REQUIREMENTS:  - Associate’s degree preferred. - Three (3) years of management or supervisory experience, preferably in healthcare. - Knowledge of dental terminology and office procedures. - Knowledge of accounting and administrative principles and procedures. - Knowledge of insurance plans and claims processing. - Excellent verbal and written communication skills. - Excellent interpersonal and customer service skills. - Excellent organizational skills and attention to detail. - Excellent time management skills with a proven ability to meet deadlines. - Proficient with Microsoft Office Suite or related software. NICE TO HAVES:  Bachelor’s Degree Familiarity with dental software and scheduling systems.
