State of the Art Boutique Pediatric Dental Practice!! Kids 360 Pediatric Dentistry is excited to announce the opening of an office manager position for the practice. We’re looking for a new full time staff member to join a small, intimate team and to grow with the practice! We're looking for a friendly hard-working team player to work with both our front and back office staff! Must have a genuine love for interacting with children and their families. This is a 32-36 hour/week position. 5 years of DENTAL OFFICE EXPERIENCE REQUIRED and Salary depends on level of experience. Office Manager Responsibilities OVERVIEW: The office manager is responsible for administering the day-to-day activities of the office including patient and employee relations; staff recruitment and interviewing; Ensuring adequate staffing for clinical days in the office; management of marketing; Organizing staff training; Working with Dr. Appareddy and lead dental assistant to meet revenue goals; Assisting Dr. Appareddy with other tasks as needed. All treatment coordinator, AR, and insurance duties will be your responsibility and you may train/delegate some of these tasks to other staff members as needed. SPECIFIC DUTIES o Manage day-to-day operations of dental office o Continue all existing front desk duties with the help of other front desk staff. Delegate duties to other front desk staff as needed (ex check-in and check-out, scheduling, reminder calls, collecting payments, accounts receivable, insurance verification and pre-authorizations, OR and IV sedation booking, etc.) o Manage patient financial accounts, Collect payments, A/R o Manage the recruitment, interviewing, and performance of staff. Dr. Appareddy will make all final decisions for hiring, firing, and staff pay. o Work with Dr. Appareddy and Lead Assistant to meet monthly collection/revenue goals o Inventory of supplies that need to be ordered (with the exception of supplies ordered by the Lead assistant) o Oversee patient relations and handle patient complaints o Help explain office policy to patients o Overall maintenance of the office and helping Dr. Appareddy coordinate repairs STAFF MANAGEMENT o Assign, direct and manage staff duties, as assigned by the dentist o Determine staff schedules and manage requests for PTO (along with Dr. Appareddy) o Ensure that the office is properly staffed for the day and arrange for temp coverage as needed. o Post job ads and conduct initial interviews for employees as directed by the dentist. Dentist will speak with applicants during the working interview. o Orient and train new staff o Organize staff training on OSHA/HIPAA compliance and CPR Training o Coordinate team meetings with the help of doctor and lead assistant o Engage in conflict resolution between team members Marketing o Help with the creation of appropriate and engaging social media content o Reach out to schools and other businesses for presentations, fairs, and marketing opportunities. Delegate staff participation in these activities. o Prepare marketing materials and gifts with the help of other staff Responsibilities include (but are not limited to): Phone calls, scheduling, check-in and checkout, verifying dental insurance, submitting claims, appealing denied claims. Presenting treatment plans, booking OR and IV sedation cases, preauthorizations, obtaining medical clearances Collecting payment and entering insurance payments, reviewing outstanding insurance claims and AR, sending out statements. Marketing, attendance at festivals to promote the business. Calling schools and daycares to schedule dental visits for doctor and assistant. Cleaning, mopping, taking inventory, general upkeep of the office Customer Service experience absolutely required. Dental experience and Opendental experience also expected.
