Description

We are seeking a highly organized, personable, and reliable professional to serve as our Front Desk / Treatment Coordinator / Administrative Assistant. This dynamic role combines front-office reception, treatment presentation and coordination, insurance and administrative tasks, and patient support. The ideal candidate is bilingual in English and Spanish, articulate, punctual, and thrives in a fast-paced environment where patient satisfaction and practice efficiency are priorities. Key Responsibilities: • Greet patients warmly, check them in/out, and ensure a positive first and last impression at the front desk. • Answer multi-line phones promptly and courteously, address patient inquiries, and handle appointment-related calls. • Schedule, confirm, and reschedule appointments efficiently to optimize provider schedules and minimize downtime. • Present and explain treatment plans to patients in clear, understandable terms — including procedures, benefits, timelines, and costs — to help them make informed decisions. • Answer patient questions about recommended treatments, procedures, and alternatives with confidence and empathy. • Verify dental insurance benefits, eligibility, and coverage; submit and track insurance claims; follow up on outstanding claims and appeals. • Discuss financial options, prepare accurate estimates, set up payment plans, process payments, and manage collections as needed. • Maintain accurate patient records, update charts, and ensure compliance with privacy regulations (e.g., HIPAA). • Coordinate with clinical team (doctors, hygienists, assistants) to facilitate smooth patient flow and treatment sequencing. Required Qualifications: • Bilingual fluency in English and Spanish (spoken and written) — required for effective communication with our diverse patient base. • Strong knowledge of dental/medical treatment procedures and terminology (prior experience discussing treatment options with patients preferred). • Solid background in dental/medical insurance verification, claims processing, billing, and financial coordination. • Proven experience in appointment scheduling, front desk operations, and multi-tasking in a busy office setting. • Excellent verbal and written communication skills — articulate, professional, and able to explain complex information clearly and positively. • Highly punctual, dependable, and detail-oriented with strong organizational skills. • Positive attitude, customer-service mindset, and ability to build rapport quickly with patients and team members. • Proficiency with dental practice management software (e.g., Open Dental, DTX Studio) is a plus, but training will be provided for the right candidate.
