Pay: $15.00 - $20.00 per hour Job description: Job Title: Dental Front Office Receptionist Job Summary: The Dental Front Office Receptionist is the first point of contact for patients at the dental office. This role involves managing the front desk, scheduling appointments, handling patient records, processing payments, and ensuring a smooth workflow within the office. The ideal candidate will have excellent communication and organizational management. Key Responsibilities: Patient Reception and Interaction: Greet patients warmly and assist them with the check-in process. Answer phone calls, emails, and other communications in a professional and courteous manner. Provide information to patients regarding their appointments, treatments, and general inquiries. Appointment Scheduling: Manage the dental office’s appointment calendar efficiently. Schedule, reschedule, and confirm patient appointments, ensuring optimal time management for the dental team. Notify patients of upcoming appointments and handle cancellations or changes. Patient Records Management: Maintain accurate and up-to-date patient records in compliance with privacy regulations (e.g., HIPAA). Process new patient registrations and update existing patient information. Assist with the digital or manual filing of records and documentation. Billing and Payments: Process patient payments, both in-person and over the phone. Prepare and send invoices and insurance claims. Assist patients with insurance inquiries and help them understand their benefits and payment options. Insurance Coordination: Verify patient insurance coverage and eligibility. Coordinate pre-authorization for dental treatments as needed. Follow up on insurance claims, ensuring timely processing and payment. Office Coordination: Assist with ordering office supplies and maintaining inventory. Ensure the reception area is clean, organized, and welcoming. Collaborate with dental assistants, hygienists, and dentists to ensure smooth patient flow and office operations. Patient Communication: Contact patients for appointment reminders, follow-up care, and to address any outstanding issues. Handle patient concerns and complaints with empathy and professionalism, escalating them to the appropriate staff as necessary. Technology and Software Use: Proficiency in dental practice management software (e.g., Dentrix, Eaglesoft). Manage electronic communications, including emails, texts, and appointment reminders. Compliance and Confidentiality: Adhere to all office policies and procedures, including confidentiality agreements and HIPAA regulations. Stay updated on any changes in dental office compliance and best practices. Team Collaboration: Work closely with the dental team to ensure patient care is seamless and efficient. Assist with additional administrative tasks as needed. Qualifications: Education: High school diploma or equivalent. Some college or specialized training in dental office administration is a plus. Experience: Previous experience in a dental office or healthcare setting is preferred. Skills: Strong communication, organization, and multitasking skills. Proficiency in dental software, Microsoft Office, and general office equipment. Attributes: Friendly, patient-focused, and able to work in a fast-paced environment. Strong attention to detail and problem-solving abilities. Physical Requirements: Ability to sit, stand, and walk for extended periods.
