Front Office Admin / Patient Care Coordinator: About the Role At Westheimer Lakes Dental, you are not just answering phones. You own the schedule, drive patient flow, and help patients move forward with treatment. What You’ll Own Schedule Performance: Keep provider schedules full, including same-day and short-call fills Reduce cancellations and no-shows Maintain strong confirmation rates Patient Conversion: Turn inbound calls into booked appointments Convert diagnosed treatment into scheduled visits Follow up consistently on unscheduled treatment Revenue Support Review treatment plans and financial options with patients Collect payments and manage patient balances Help drive case acceptance Front Office Operations Manage daily front desk flow Manage Open Dental scheduling and patient records Keep communication tight across the clinical and admin teams Key Metrics You’ll Be Measured On Schedule utilization Case acceptance Unscheduled treatment follow-up Daily collections vs. production Call-to-appointment conversion rate What We’re Looking For: 1+ years of dental front office or treatment coordinator experience understanding of PPO insurance and patient financing Proven ability to fill schedules and support production Confident communication skills by phone and in person Organized, fast, and detail-focused Ideal Candidate: Take ownership without being told Follow up pending items and see through completion or until the job is done Are comfortable discussing money with patients Like hitting targets and improving performance Compensation Competitive hourly base, based on experience Performance bonus tied to: Schedule utilization Case acceptance Office production Schedule: Part-time or full-time 2–4 days per week Specific days based on office schedule Why This Role: Growing practice with room to step into a Business/Office manager role Direct impact on practice growth and performance Clear expectations and measurable results
