Job Responsibilities: Greet guests with a smile and on a first name or, if preferred, a formal name-basis when they walk into our reception area. Employ exceptional communication skills in person and over the phone with patients; master data collection from patients while scheduling intelligently and efficiently. Keep doctors informed on salient topics and patient requests and concerns including new patient vs. inactive patient status as well as daily patient emergency scheduling and cancellation status. Team collaboration to optimize operations and positively impact the patient experience. Provide consistent, high-quality service and hospitality to guests at all times through appropriate email and phone interactions Partner with existing patient concierge in daily operational tasks, such as scheduling, tidying, preparing workspace and office for opening/closing; financial and clerical tasks Collaborate with the entire team, including our Doctors, to optimize daily operations with an ultimate outcome of positively impacting guest experiences Manage calendar for monthly team meetings; manage white board in staff lounge, order lunch for the meetings, rotate leadership Manage calendar of staff birthdays, life- celebrations and employment anniversaries. Manage hygiene schedule production and efficiency Prepare financial estimates and assist patients with insurance requests including narratives, pre-authorizations, x-ray/record requests and referrals to specialists for extended care Engage in active promotion of the practice by sending links for google reviews to patients and requesting referrals Keep abreast of events in patients' lives: poor health, new family members, graduations, new job, etc. Operate calmly in a fast-paced, concierge environment. Ability to organize, prioritize and multitask. Willingness to initiate tasks and perform duties without direct supervision. Excellent communication skills and be able to work with a diverse team.
