Our team works collaboratively to ensure both our clinical and administrative systems support a high level of patient service and operational efficiency.
We are seeking a highly organized Administrative Coordinator with dental experience to provide additional support to our administrative team. The ideal candidate is comfortable working in both the clinical and administrative environments of a dental practice and enjoys coordinating patient care, scheduling, and financial processes.
Position Overview
The Administrative Coordinator supports the administrative team through schedule coordination, treatment plan follow-up, insurance processing, and financial coordination. This role works closely with the doctor, administrative team, and business manager to help ensure smooth daily operations and an excellent patient experience.
Key Responsibilities
• Assist with management of the daily office schedule to support production and collection goals
• Coordinate treatment plan follow-up and assist with financial proposals for patients
• Contact patients regarding outstanding or unscheduled treatment
• Assist with scheduling appointments in accordance with office protocols
• Support patient financial arrangements and collections
• Present third-party financing options to patients when appropriate
• Submit and follow up on insurance claims, prior authorizations, and denials
• Balance the Daily Report and submit to the Operations Manager
• Scan and digitally file documents as directed
• Submit employee time-off requests to the Operations Manager
• Assist the doctor with administrative projects when needed (letters, documents, presentations, etc.)
• Monitor assigned email & voicemail accounts and respond to communications throughout the day
Qualifications
• Excellent communication and interpersonal skills
• Strong understanding of dental insurance and coordination of benefits
• Experience presenting treatment plans and discussing financial options with patients
• Strong technological proficiency with dental practice systems
• Proficiency with Google Suite and Microsoft Office
• Excellent grammar and written communication skills
• Minimum typing speed of 65 WPM
• Ability to troubleshoot basic software or equipment issues
• Team-oriented mindset with the ability to adapt in a collaborative environment
Required Experience
• High School Diploma required
• Minimum 3 year experience in dental administration
• Bachelor’s Degree preferred
