DENTAL TREATMENT COORDINATOR / FRONT OFFICE COORDINATOR Sandy Springs, GA GROWING PRIVATE PRACTICE – NEW SANDY SPRINGS OFFICE OPENING SEPTEMBER 2026 Pinewood Dentistry and Implants is expanding and relocating our Sandy Springs practice into a brand-new, larger facility at the end of September 2026. We are looking for an experienced, patient-focused Dental Treatment Coordinator / Front Office Coordinator who wants to join our team during this next phase of growth and potentially develop into a broader leadership role over time. Our team is currently practicing at our existing Sandy Springs location near Northside Hospital while our new facility is being completed. Candidates who look us up or visit the current office should know that this is not the space they will ultimately be working in. Our new office is located at: 775 Johnson Ferry Rd Atlanta, GA 30342 The new space is being designed to support continued growth, comprehensive dentistry, an excellent patient experience, and a strong team culture. ABOUT PINEWOOD DENTISTRY AND IMPLANTS Pinewood Dentistry and Implants is a privately owned, comprehensive dental practice with locations in Sandy Springs and Cumming. We combine advanced technology with thoughtful, relationship-based care. Our services include comprehensive general dentistry, dental implants and surgical dentistry, same-day CEREC restorations, cosmetic dentistry, Invisalign, airway-focused treatment, and complex restorative care. We believe in understanding why dental problems occur, not simply repairing the next thing that breaks. We value quality, professionalism, communication, attention to detail, and doing what is right for the patient. ABOUT THE POSITION This is not primarily a receptionist or check-in position. The person in this role will work closely with our doctors, clinical team, and patients to help patients understand treatment recommendations, navigate financial decisions, schedule appropriate next steps, and move confidently forward with care. We are looking for someone who understands that presenting treatment is not about pressuring patients or 'selling dentistry.' It is about listening, communicating clearly, removing barriers, following through, and helping patients make informed decisions about their health. The ideal candidate will also have leadership potential. We are looking for someone who can learn Pinewood's systems and culture, take ownership of results, improve communication, and potentially grow into broader front-office or location leadership. Management responsibility is not automatically assigned on the first day. It is an opportunity earned through performance, judgment, consistency, ownership, and cultural alignment. PRIMARY RESPONSIBILITIES -Meet with patients to review recommended treatment -Help patients understand treatment priorities and next steps -Present treatment fees and insurance estimates -Discuss payment arrangements and third-party financing options -Help patients overcome financial and logistical barriers to care -Schedule treatment with appropriate providers and appointment lengths -Follow up consistently with patients who have unscheduled treatment -Track treatment-plan activity and help improve case acceptance- -Maintain accurate financial and treatment notes -Communicate patient questions and concerns to doctors and clinical team members -Create smooth handoffs between doctors, clinical team members, and the front office -Help patients feel informed and supported rather than pressured -Monitor scheduling opportunities and help protect the clinical schedule -Assist with checkout, collections, account questions, and front-office responsibilities when needed -Help improve front-office systems and patient communication -Support accountability and follow-through across the team -Depending on experience, responsibilities may also include insurance estimates, larger restorative and implant cases, Invisalign and cosmetic cases, third-party financing applications, accounts-receivable follow-up, new-patient conversion, schedule analysis, team training, and front-office process development. WHO WE ARE LOOKING FOR The ideal candidate is: -Warm, confident, and professional -Comfortable discussing treatment costs and financial arrangements -Able to explain complex information in a clear and reassuring way -Highly organized and detail-oriented -Persistent with follow-up without being aggressive -Comfortable working toward measurable goals -Able to balance excellent patient service with the business needs of the practice -Proactive and willing to solve problems -Calm during busy schedules or difficult conversations -Comfortable taking ownership of results -Receptive to coaching and willing to learn new systems -Interested in professional growth and increased responsibility -Able to build trust with doctors, team members, and patients EXPERIENCE Previous dental treatment-coordination, dental front-office, or dental assisting experience is strongly preferred. Ideal experience includes treatment-plan presentation, discussing fees and financial arrangements, coordinating multi-visit treatment, insurance estimates, third-party financing, accounts receivable, unscheduled-treatment follow-up, dental scheduling, and front-office leadership. Experience coordinating larger restorative, implant, cosmetic, orthodontic, or comprehensive treatment plans is especially valuable. A college degree is not required. We care more about communication, ownership, judgment, reliability, professionalism, and demonstrated professional growth. LEADERSHIP GROWTH OPPORTUNITY Pinewood has two locations and continues to grow. A successful person in this role may have the opportunity to develop into: -Senior Treatment Coordinator -Front Office Lead -Office Manager -Location Manager -Multi-location administrative leadership Advancement will be based on demonstrated results, cultural alignment, team leadership, and the ability to improve systems, not simply length of employment. SCHEDULE Monday: 8:00 AM - 3:00 PM Tuesday: 8:00 AM - 6:00 PM, lunch 1:00 PM - 2:00 PM Wednesday: 8:00 AM - 3:00 PM Thursday: 8:00 AM - 3:00 PM Friday: 8:00 AM - 1:00 PM, approximately three Fridays per month No regularly scheduled weekends. Initial training, leadership meetings, or occasional team support may take place at our Cumming location. Candidates should be willing to travel between locations when necessary. COMPENSATION AND BENEFITS $50,000 - $65,000+ per year, depending on experience and qualifications Additional earning opportunities may include treatment-coordination performance bonuses and office production/performance bonuses.
