About Us: Join our dynamic dental practice where we prioritize exceptional patient care and a positive work environment. We are seeking a dedicated Office Manager who will be integral to the smooth operation of our office and ensure that both our patients and staff are well taken care of.
Key Responsibilities:
Patient and Employee Relations: Build strong relationships with patients and staff, addressing any concerns and ensuring a welcoming environment.
Marketing and Communications: Develop and implement marketing strategies to attract new patients and maintain communication with existing ones.
Regulatory Compliance: Ensure the office complies with all dental regulations and standards.
Dental Codes: Stay current on dental codes and ensure they are correctly applied.
Hiring, Training, and Supervising Office Staff:
- Conduct performance evaluations and provide feedback.
- Oversee the hiring process, conduct interviews, and manage terminations as needed.
- Provide training, support, and motivation to the dental office team.
Administrative Duties:
- Oversee daily office operations.
- Schedule and coordinate appointments.
- Manage patient records and ensure confidentiality.
- Handle correspondence and communication with patients and suppliers.
Financial Management:
- Manage billing and invoicing.
- Process insurance claims and coordinate with insurance companies.
- Oversee accounts receivable and payable.
- Budget and financial planning for the office.
Treatment Coordinating: Facilitate treatment plans and coordinate patient care.
Monthly Reporting: Track and report on office performance, including:
- The number of patients rescheduled for hygiene visits, ensuring everyone is seen every six months and has their next appointment scheduled.
- Calculate the total number of new patients seen each month.
- Manage a calling list for patients who have not been seen in a year, missed recent cleaning appointments, or need to reschedule. Call and remind them of their appointments or the need to reschedule.
Qualifications:
- Proven experience in office management in a dental setting.
- Strong knowledge of dental codes and regulations.
- Excellent communication and interpersonal skills.
- Ability to multitask and manage various responsibilities efficiently.
- Detail-oriented with strong organizational skills.
