Treatment and Account Coordinator Needed ASAPP
Hiring Timeline: ASAPP, practice manager having baby soon and we’re growing!
Private Practice, Solo Doctor, Solo RDH with nearly 10 years with the practice,
with plans to expand to at least two care teams (Dr & 2 RDH), 2 Treatment Rooms,
2 Hyg Rooms in newer beautiful building with room for 8 total rooms, Largely
adult patient base (we happily see toddlers, children, and teens too), Very Few
Referrals out: practice performs routine fillings, crown, bridge, veneers,
places implants (same day implants on single rooted teeth) & restores them, RCT,
Oral Surgery and 3rds, Non-Surgical Periodontal Therapy/Perio Protect Trays,
Oral Conscious Sedation, Heavy Focus on iTero/Invisalign for Ideal Alignment and
Tooth Longevity, Whitening, a little Botox /Sleep Studies/Appliances, and will
be adding more sinus lifts and pinhole surgical technique for gumline recession
Patient Hours: Tuesday – Friday 7am – 3pm (skip traditional lunch so we can all
get home to families), Wednesdays 7-6
Roughly 35-40 hours per week and some non-patient Monday hours possible
Practice Manager will train, on-board, and supervise this position along with
the Doctor. The practice manager will be on and off site during her maternity
Present all treatment coming out of hygiene re-care, hygiene new patients, and
Enter consult notes for each consult as a record and with a plan of followup in
Track all presented treatment and unscheduled treatment on tracker form
Remove anxiety and financial barriers to dental treatment
Collect Estimated Patient Portion at time at consult in order to reserve Dr.time
Check out all hygiene and treatment patients
Preview all appointments/accounts 1 week ahead: troubleshoot accounts, enter
balances due in appointment notes
Call all treatment appointments 1 week out to confirm and see if there are any
Treatment or accounting questions
Collect outstanding balances at checkout
Manage all patient account questions
Manage entering and maintaining all payment plans on Retriever
Send monthly statements and interim “insurance paid, please pay” statements
Run monthly account aging reports and work the list to collect past due balances
Manage soft and hard collections daily through Dental Collect
-At least 1-3 years of dental front office experience
-Ideally Have Experience with Retriever Medical/Rectangle Health
-Ideally Have Experience with Dental Collect Enterprises/Transworld
-Wear a black business suit and be professionally groomed
-Confidence Balanced with Humility

-Strong Teaching Ability
-Skilled People Reading/Adapting
-Spanish Fluency a Big Plus
All benefits and compensation are negotiable.
Commensurate with education level, experience, and interview process: most
likely we will pay an initial pay for the first 3 months and then once position
skills are proven, the pay can increase.
Paid Holidays: If we would normally work on the Holiday, the Holiday is taken
off and you are paid.

We see patients on time and try to run on time.
We pamper patients: Hospitality Bar in Reception (not a waiting room b/c we
don’t want patients to wait and this is where we “receive” them and roll out
the red carpet), Blankets, Lavender Eye Pillows, Paraffin Hand Treatments at
cleanings, and Netflix/Spa Music & Headphones
Everyone teaches patients about urgency of dental treatment; when patients
wait,they are in a state of sickness longer and the treatment usually gets more
expensive the longer they wait.
When we produce more, more patients are getting healthier and will live longer!

Practice Treatment Philosophy:
The Doctor believes in preventive dentistry and bringing potential problems to
patient’s attention ASAP. We try to keep patients in prevention mode as much as
possible with small things with a big return on investment like Fluoride and
Sealants for all our patients. We believe the research about the oral-systemic
connection and that regular preventive care can add 10 years to a patient’s
We are not a “wait and see” dental office. This is unethical. As soon as we see
a tooth crack, we are obligated to let the patient know what we see, and offer
to treat that crack or problem with the smallest intervention and best prognosis
possible. The longer we “wait and see,” the more damaged and sick a tooth can
get, the more tooth structure a patient can lose, and the more expensive the
treatment will be. Our patients deserve to know at the earliest sign of dental
disease or problem and have the opportunity to fix it as early as possible. At
the same time, the Doctor is conservative. We don’t jump into root canal therapy
unless a tooth tests positive on multiple tests because that’s more invasive. We
always try to solve the dental pathology at the lowest level possible with the
most predictable outcome. Our goal is to save as much tooth as possible. We also
believe that patients deserve to know the most ideal dental treatment available,
and then let the patient choose what is best for him or her. If finances are a
barrier to ideal treatment, we aim to help them get the next best alternative
treatment possible. We are healers and problem solvers, and we believe our
patients deserve the best! We treat our patients like we would treat our family.
