Job Summary: The Treatment Specialist insures quality dentistry is financially available to patients, communicates with patients regarding their treatment plan, determines the best option for financing the recommended treatment, arranges appropriate financial plans with patients, ensures patients are scheduled and ensures patients had a pleasant experience and no complications with treatment. Have knowledge of English composition, grammar, spelling, and punctuation. Be skilled in the use of standard office equipment including: telephones, calculators, copiers, fax, computers, and computer software (MS Excel, Word, Practice Management software). Have the ability to maintain composure and professionalism when exposed to stressful situations. Have the ability to engender trust from the doctors, co-workers, and patients. Have the ability to work cooperatively with management, staff, and patients. Have the ability to prioritize, organize, and complete tasks in a timely and independent manner. Qualifications: To perform this job successfully, an individual must be able to satisfactorily perform each essential duty as listed below. Essential Duties: Prepares patient financial agreement plans. Researches patient insurance benefits on diagnosed treatment, as needed. Coordinates patient financial arrangements according to the financial policy. Maintains appropriate financial documentation, including signed financial agreements if financing treatment. Records patient financial discussions. Presents the treatment plan, using models, diagrams, patient education, as necessary, and provides patient with related literature. Arranges the patient’s treatment-planning schedule and books appointments. Complete new patient charts and always insure contact info is updated Prepares needed documents (i.e. router slips, notes, etc.) and notify clinic personnel of patient arrival Monitors payments to ensure treatment financing is followed through appropriately. Reviews patient charts for any incomplete treatment. Estimates costs of treatment provided. Check patients out, collect payments, and schedule appointments Schedules and adjusts patient appointments to maximize the patient care and reach practice profit target. Manages the daily, weekly, and monthly calendar to meet the practice production and collection goals. Monitor broken appointments, maintain call lists, place scheduling calls, and engineer schedule as needed Prepares correspondence, condolence letters, and other patient centric documents, patient gifts, as requested by doctor or according to systems. Monitor voicemail and insure message is always current Send recall, reminder, reactivation systems (i.e. postcards, email automation, etc.) Completes daily follow ups as assigned. Completes daily training initiatives as assigned. Monitor appointment confirmations and place phone calls only as needed. Documents basic insurance information on the patient’s chart for quick reference. Determines insurance eligibility, limitations and payment estimates necessary to facilitate financial arrangements. Educates patients, as necessary, regarding insurance, their responsibility and basic terminology. Verifies charts have complete insurance information. Handle phone calls about accounts and manage post op call process Monitor and manage assigned email accounts Scan all prudent patient documents into the system Contacts patients when pre-authorization is received and proceeds with scheduling, as needed. Manages administrative supply inventory, postage and places orders. Provides financial statements to the employer. Adheres to all safety and health regulations. Contributes to overall office cleaning and maintenance.
