Looking for experienced front office team members for our new location: 20711 Wilderness Oak Suite 104 San Antonio, TX 78258 Office Hours Monday- 8:00 am - 5:00 pm Tues-Thurs - 8:00 am - 6:00 pm Friday - 8:00 pm - 4:00 pm JOB SUMMARY This individual performs all front office duties to include greeting patients, answering phones, scheduling appointments, compiling dental health records, and preparing correspondence. The goal of the Business Assistant is to ensure seamless processing of patients, maintaining appointment books, ensuring accurate treatment and billing records, and delivering top quality customer service and support for both patients and staff. JOB DUTIES: • Greets patients and customers in a friendly fashion. • Answers office phones and email messages. • Keeps front reception area clean and organized. • Organized and prepares dental records for staff prior to patient arrival. • Inputs all necessary patient reports and information into practice database. • Schedules all appointments detailing the procedure and time needed. • Reschedules late patients and any no-shows. • Verifies patient insurance eligibility. • Confirms and, when necessary, reconfirms appointments. • Tracks appointment confirmations and “No Shows”. • Prints daily work schedules. • Maintains patient schedules productively busy throughout the day. • Reviews patient dental health records for accuracy and relevant information. • Performs housekeeping duties as required. • Determine supply and equipment needs and submit requisitions as necessary. • Process equipment and facility repair requests as needed. • Complies with and enforces all practice policies, procedures, rules and regulations. • Complies with and enforces all OSHA policies, procedures, rules, and regulations, and reports incidents and/or violations as required. • Complies with and enforces all HIPAA standards, and reports ethics and compliance violations as required. • Complies with assigned work schedules and the practice’s timekeeping policies. • Other duties as assigned. JOB SKILLS/QUALIFICATIONS: • Must possess strong written and verbal communication skills in the English language. • Must possess effective problem-solving and interpersonal skills. • Ability to maintain professional relationships while addressing complex or sensitive issues. • Ability to respond to emergent or stressful situation in a calm or professional manner. • Ability to prioritize work, meet deadlines, work independently, multitask, and produce results in a high stress environment. • Must possess intermediate computer skills using basic applications. • Must possess knowledge of federal, state, and commercial insurance regulations and programs. • Ability to read and comprehend patient medical history information, insurance explanations of benefits, computer screens and performance metrics. PHYSICAL REQUIREMENTS: While performing the duties of this job, the employee may be regularly required to do the following: • Must have good or corrected vision as well as effective peripheral vision, depth perception and ability to adjust focus. • Must have good manual dexterity and be able to use repetitive motion of the hands and arms. • Must be able to remain in a stationary position for up to one hour. • Must be able to occasionally move about inside the office to perform administrative tasks. • Must be able to constantly operate a computer and/or other office equipment such as a calculator, copy machine, or printer. • Must be able to frequently and effectively communicate in both written and verbal form. • Must be able to occasionally lift up to 25 pounds and/or push/pull objects up to 100 pounds. WORK ENVIRONMENT While performing the duties of this job, the employee is occasionally exposed to toxic or caustic chemicals and risk of radiation. The noise level is usually moderate. Since everyone within the practice works on a time schedule governed by patients’ appointments, the work and general environment can become somewhat hectic at times. Therefore, it is essential that the employee is able to both physically and emotionally, effectively handle the normal anxieties associated with the job. Periodic travel to various locations may be required. CERTIFICATES, LICENSES, REQUIREMENTS: • Cardiopulmonary Resuscitation (CPR) certification. EDUCATIONAL/EXPERIENCE REQUIREMENTS: • High school diploma or equivalent. • Minimum of one (1) year dental or medical office work experience.
