Job Summary: The scheduling coordinator is primarily responsible for providing a well-run scheduled flow within the oral surgery practice. They oversee that patients are scheduled appropriately, keep the schedule productive, fill any openings in the schedule and confirm patients are aware of their next visit. Duties/Responsibilities: . Schedule patient appointments and procedures for multiple surgeons with appropriate provider and time/location slot, utilizing appropriate scheduling guidelines. . Manage and answer high volume incoming calls accurately, including: new patient calls, emergencies, and follow ups. . Be comfortable with individual doctor and practice scheduling protocols, insurances, general and specialty services to create an exceptional patient-centered experience and “first impression” with new patients. . Obtain accurate information from patients and ensure that all demographic information is complete, and enter information in practice management software. . Respond to scheduling changes/cancellations in a timely, accurate manner. . Maintain strictest confidentiality; adhere to all HIPAA guidelines. . Understand dental procedures and dental terminology for proper scheduling and treatment coordinating. . Work closely with clinical staff and other front office staff to assure smooth flow of patient care. . Perform general front office duties as required. Required Skills/Abilities: . Excellent verbal and written communication/phone skills. . Solid attention to detail skills to ensure accuracy of surgical scheduling and information gathering. . Possess excellent organizational skills, able to self-direct, and perform job duties in a timely manner. . Strong interpersonal and relationship building skills. . Able to work effectively with surgeons, staff members, and patients under varying conditions. . Able to multi-task and work in a fast-paced environment. . Able to follow and apply established office policies and procedures. . Proven ability to handle confidential and sensitive information (HIPAA). . Working knowledge of medical or dental terminology and insurance. . Strong computer skills; experience with dental software desired. Education and Experience: . High school diploma or equivalent. . Scheduling: 2 years (preferred) . Experience with scheduling oral surgery, dental or medical appointments (Strongly preferred) . Oral surgery experience: 1 year (preferred) . Knowledge of Open Dental management software a plus! . Fluent in Spanish a plus! Physical Requirements: . Able to remain in a stationary position 60% of the time. . Able to work on keyboard up to 6 hours a day. . Able to constantly operate a computer and other office products, such as a copy machine, printer, and telephone system. . Able to occasionally move around to access file cabinets, office machinery, etc. Benefits: This practice offers the following after 90 days of employment: . Health insurance .
