DESCRIPTION: The Orthodontic Front Desk Patient Coordinator’s primary responsibility is to provide patient satisfaction that far exceeds their expectations. It is important that you instill all of the core ideas behind our brand, as you will be the first and last point of contact with our patients. You will build and maintain successful relationships with patients to provide an incredible experience while delivering quality care and results. Responsibilities: - Provide an ultimate patient experience with each patient by engaging with the patient and parent - Serve as initial point of contact for patients both in person or over the phone - Be tech savvy as we use multiple technologies to serve our patients (auto appointment reminders, online forms, email, etc.) - Greet all patients as they walk in with a smile - Manage financial transactions - Communicate with patients in a professional manner - Answer multi-line phones with proper phone etiquette and handle all inquiries and needs - Fill out new patient forms - Schedule patient appointments - Call and confirm appointments - Verify Insurance Benefits - Respond to patient needs, requests, and complaints to ensure patient satisfaction - Implementation of marketing activities including but not limited to Social Media, Reputation Management, and In-House Contest/Promotions - Lead by example; exercise good team work; have mutual respect for the team; partner with the team to create an outstanding experience for our patients - Attend and participate in public relation events and charity events - Complete opening and end of day procedures in accordance with office policies - Monitor the schedule and maintain a smooth patient flow - Maintain patient confidentiality through HIPAA compliance - Follow OSHA and company safety policies and procedures - Promote and market Hart Orthodontics’ services, retail products, and doctor to patients and the community - Educate patients and address their questions and/or concerns - Knowledge and understanding of dental terminology sufficient to perform job successfully - Verify patient health history (basic health review, medications, understanding impact with dentistry) and document appropriately in patient’s chart - Accountability for successful performance of all job functions - Aid Ortho manager on admin days with administrative duties assigned - Participate and contribute to staff meetings - Regular and punctual attendance Education/Certification: - Minimum high school diploma or equivalent - Experience in a professional environment with direct patient contact preferred Skills/Abilities: - Energetic, Compassionate, Outgoing (not afraid to sing and dance with patients), Empathetic, Knowledgeable, Willing to learn and be taught, Coachable, Confident - Outstanding positive attitude and demeanor - Excellent customer service skills - Strong initiative - Professionalism in all aspects of job - Good grooming and professional image - Strong interpersonal and relationship building skills - Excellent verbal and written communication skills - Strong organizational and anticipation skills - Ability to multi-task and work in a fast-paced environment - Strong computer skills and the ability to learn new programs as required Preferred: - Conversational Spanish - 1 year of orthodontic or dental experience Position/Compensation/Benefits - Full Time - Competitive Salary Commensurate with Experience - Work-Life Balance - Company Paid Holidays - Paid Personal/Vacation Time - Bonuses Physical Demands: The physical demands described here are representative of those that must be met by a team member to successfully perform the essential functions of this job.
