Seeking an experienced front office manager for oral surgery practice. Job Snapshot Location: Katy, TX Hours: M-Th 8AM - 5PM Friday 7AM – 3PM Professional growth opportunity for someone with previous oral surgery dental office experience. Role Overview As the leader of the front office team, you are an integral part of the continuity of care and operational effectiveness of our practice. You will support business activities by handling patient services, ensuring that our front staff operates excellently, efficiently, and productively in their delivery of exceptional care to patients and other guests of the practice. This position will also successfully implement company mission, vision, core values, and policies and procedures, helping create a profitable practice that is the employer of choice and industry standard. High school diploma and/or college Bachelors degree. . Minimum 3+ years of experience working in a dental front office setting (required). . Minimum 2 years of CURRENT experience in a management and/or administrative role in dental or oral surgery. . Experience working with Open Dental software (required). What You Will Do . Lead the front office with strong guidance by developing, directing, and supervising staff in regards to job duties, responsibilities and time efficiency. . Ensure positive polite interactions are achieved between front office team and patients through the application of company core values and clear verbal communications. . Instill a high level of self-accountability on a daily basis that inspires team to excel in areas of performance and patient-centered care. . Assure office policies and procedures are adhered to promote the profitability of the practice. . Supervise and support treatment and scheduling coordinators in tasks such as reception, scheduling appointments, insurance, billing and coding, and presentation of treatment plans and estimates. . Facilitate teamwork between front office team and surgical team to ensure seamless patient experience. . Review schedules to make adjustments in attempt to maximize production and minimize patient wait times. . Coordinating daily procedures and handle any patient inquiries, issues, and complaints with finesse. . Review doctors chart notes, CBCT records, anesthesia records to ensure correct production and coding is posted. . Review appointment order and scheduled procedures for accuracy. . Audit patient accounts for outstanding balances and place collection alerts on next appointment when applicable. . Monitors safety and compliance issues in accordance with requirements from applicable regulation agencies, HIPAA, and OSHA. . Correspond and develop relationships with referring and new offices. . Other tasks as needed, including but not limited to weekly deposits, reviewing care slips, confirming accuracy of payments posted and balancing, and being a backup treatment coordinator as needed. Required Skills/Abilities: . Excellent verbal and written communication/phone skills. . Solid attention to detail skills to ensure accuracy of surgical scheduling and information gathering. . Possess excellent organizational skills, able to self-direct, and perform job duties in a timely manner. . Strong interpersonal and relationship building skills. . Able to work effectively with surgeons, staff members, and patients under varying conditions. . Able to multi-task and work in a fast-paced environment. . Able to follow and apply established office policies and procedures. . Proven ability to handle confidential and sensitive information (HIPAA). . Working knowledge of medical or dental terminology and insurance. . Strong computer skills; experience with Open Dental software (REQUIRED). . Fluent in Spanish a plus! Education and Experience: . High school diploma and/or college bachelor’s degree. . Minimum 2+ years of experience working in a dental front office setting (REQUIRED). . Minimum 2 years of CURRENT experience in a management or administrative role in dental or oral surgery. . Experience working with Open Dental software (REQUIRED). . Oral surgery experience: 1 year (PREFERRED). Physical Requirements: . Able to remain in a stationary position 60% of the time. . Able to work on keyboard up to 6 hours a day. . Able to constantly operate a computer and other office products, such as a copy machine, printer, and telephone system. . Able to occasionally move around to access file cabinets, office machinery, etc. Compensation is based on experience.
